Job Summary
Papagino Foods Inc. is looking for a reliable and detail-oriented Office Administrative Assistant to join our team on a full-time contract basis for 3 to 6 months. The ideal candidate should have strong organizational skills, customer service experience, and experience working with an online store. This position involves general office duties, customer support, accounting-related tasks, inventory assistance, and online order processing.
Duties
- Handle front desk responsibilities, including greeting visitors and managing multi-line phone systems with professionalism and courtesy
- Provide exceptional customer service via phone, email, and in-person interactions, addressing inquiries and resolving issues efficiently
- Manage online store support by processing orders, updating product listings, and coordinating shipments
- Perform data entry tasks accurately using Microsoft Office applications, Google Workspace, and QuickBooks
- Maintain organized filing systems for both digital and physical documents, ensuring easy retrieval of information
- Assist with clerical duties such as proofreading correspondence, scheduling appointments, and managing calendars
- Support bookkeeping activities including basic bookkeeping tasks using QuickBooks and tracking financial transactions
- Collaborate with team members to ensure organizational efficiency and uphold office procedures
- Support medical or dental office-related tasks if applicable, including patient record management and appointment scheduling
Qualifications
- Proven experience in an administrative or clerical role; dental or medical office experience is a plus
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and QuickBooks
- Strong computer skills with the ability to perform data entry accurately and efficiently
- Excellent organizational skills with keen attention to detail
- Exceptional customer service skills with professional phone etiquette and communication abilities
- Ability to handle multiple tasks simultaneously while maintaining a high level of accuracy
- Experience with front desk operations, multi-line phone systems, filing, and general office procedures
- Capable of proofreading documents for clarity and correctness
- Previous experience in bookkeeping or basic financial record keeping is desirable
- Self-motivated with the ability to work independently as well as part of a team
