About the Opportunity
We are a well-established and growing mechanical services company seeking an experienced and highly organized Senior Service Coordinator to join our team.
The ideal candidate will have previous experience in a mechanical or HVAC service environment and a strong understanding of dispatching field technicians, managing service work orders, and delivering exceptional customer service.
Position Summary
The Senior Service Coordinator is the primary point of contact for customers and field technicians. This position is responsible for coordinating daily service operations, dispatching technicians, managing work orders, scheduling resources, and ensuring customers receive timely and professional service.
The successful candidate will be a proactive problem solver with strong organizational skills, exceptional attention to detail, and the ability to effectively manage competing priorities.
Key Responsibilities : Service Dispatch & Scheduling
- Schedule and dispatch service technicians based on customer requirements, technician availability, location, and urgency of service requests.
- Coordinate technician schedules to maximize productivity and efficiency.
- Monitor and adjust daily schedules in response to changing priorities and emergency service calls.
- Ensure technicians are equipped with the required parts, information, and documentation before arriving on site.
- Maintain ongoing communication with technicians throughout the day to provide support and resolve issues.
Customer Service
- Serve as the first point of contact for customer inquiries and service requests.
- Respond professionally to customer concerns and follow up to ensure timely resolution.
- Obtain customer approvals for additional work when required.
- Provide updates regarding service appointments, work status, and completion timelines.
Service Operations
- Review work orders, scheduling requirements, travel distances, and workforce availability to optimize service delivery.
- Track service progress and ensure work orders are completed accurately and on time.
- Maintain accurate records within dispatch and work order management systems.
- Identify and communicate service opportunities or customer concerns to appropriate departments.
- Assist with planning for seasonal workload fluctuations and resource allocation.
Administrative & Office Support
- Maintain job files, service records, reports, and department documentation.
- Coordinate office and warehouse activities, including shipments, inventory tracking, and office supply management.
- Assist with meeting coordination, travel arrangements, and logistical planning.
- Prepare reports, customer invoices and meeting minutes as required.
- Support management with special projects and operational initiatives.
QualificationsExperience
- Minimum 4-5 years of administrative experience.
- Minimum 5+ years of service dispatching, scheduling, or service coordination experience.
- Previous experience in the mechanical, HVAC, plumbing, construction, or field service industry is strongly preferred.
- Experience using work order management software is required.
- Experience with Jonas Construction Software (Jonas Premier or Jonas Enterprise) is considered a strong asset.
- Experience coordinating field technicians, managing service work orders, and supporting daily service operations is preferred.
