Job Overview
We are seeking a professional and organized Office Administrator/Receptionist to join our team. Duties
- Greet visitors and clients professionally at the front desk, ensuring a welcoming atmosphere
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and maintain calendars using Microsoft Office and Google Workspace tools
- Perform data entry tasks accurately into QuickBooks and other relevant software systems
- Handle filing, record keeping, and document management with attention to detail
- Assist with billing, bookkeeping, and basic financial recordkeeping as needed
- Support administrative tasks such as proofreading documents, preparing correspondence, and managing office supplies
- Provide excellent customer service by addressing inquiries promptly and courteously
- Coordinate with team members to ensure efficient office operations and support other departments as required
Qualifications
- Proven experience in office administration or clerical roles; experience in medical or dental offices is advantageous
- Proficiency with Microsoft Office (Word, Excel, Outlook), Google Workspace, and QuickBooks
- Strong computer skills including data entry, typing, and document proofreading
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Exceptional phone etiquette and customer service skills for front desk interactions
- Ability to manage multi-line phone systems efficiently and handle multiple tasks simultaneously
- Attention to detail in recordkeeping, filing, and correspondence management
- Prior experience with bookkeeping or basic financial tasks is preferred but not mandatory
- Strong organizational skills with the ability to prioritize tasks effectively
