We are seeking for a organized Operations/Office Manager to lead the daily functions of our busy office environment. Duties
- Oversee daily office operations, including front desk management, multi-line phone systems, and calendar scheduling to ensure timely communication and appointment coordination.
- Supervise administrative staff, providing training and development opportunities to enhance team performance and morale.
- Manage vendor relationships, negotiate contracts, and coordinate services such as office supplies, maintenance, and equipment repairs to optimize operational efficiency.
- Handle human resources functions including onboarding new employees, maintaining personnel records, managing payroll through QuickBooks or similar software, and ensuring compliance with HR policies.
- Coordinate event planning for meetings, company functions, or community outreach initiatives to promote engagement and organizational visibility.
- Maintain accurate bookkeeping records, manage budgeting processes, and oversee invoice processing to support financial health.
- Support medical or specialized office management tasks as needed, including filing confidential documents and ensuring adherence to privacy standards.
Experience
- Proven experience in office management or administrative roles within a professional setting.
- Supervising experience with a track record of leading teams effectively.
- Proficiency in QuickBooks for payroll processing and bookkeeping tasks.
- Strong organizational skills with the ability to manage multiple schedules simultaneously.
- Experience in vendor management and contract negotiations.
- Knowledge of human resources practices including onboarding, training & development, and employee relations.
- Familiarity with medical office procedures or specialized office environments is a plus.
- Excellent communication skills coupled with professional phone etiquette for front desk interactions and client engagement.
