Front of House Sales & Reception Coordinator.

Position Summary
We are seeking a professional, organized, and customer-focused individual to manage our front-of-house operations while supporting sales and administrative activities. This combined role is ideal for someone who enjoys working with people, can confidently manage multiple priorities, and takes pride in creating a welcoming and well-organized workplace.
The successful candidate will be the first point of contact for customers, visitors, and incoming enquiries. They will provide reception coverage, assist with sales opportunities, coordinate appointments, maintain records, and complete general office administration. Training will be provided for the right candidate.
Key Responsibilities: Reception and Customer Service
- Welcome customers, visitors, suppliers, and contractors in a friendly and professional manner.
- Answer, screen, and direct incoming telephone calls and emails.
- Respond to general enquiries and provide accurate information about products and services.
- Manage the reception area and ensure it remains clean, organized, and presentable.
- Schedule appointments, consultations, meetings, and customer follow-ups.
- Receive and distribute mail, deliveries, and courier packages.
- Handle customer concerns professionally and escalate issues when necessary.
Sales and Customer Follow-Up
- Speak with prospective customers to understand their needs and recommend suitable products or services.
- Respond promptly to telephone, email, website, and walk-in sales enquiries.
- Prepare estimates, quotations, order forms, and other sales documentation.
- Follow up with leads, outstanding quotations, and previous customers.
- Maintain accurate customer and sales information in the company’s database or CRM system.
- Process customer orders, deposits, and payments where required.
- Support promotional campaigns, customer outreach, and special events.
- Work toward individual and company sales goals while maintaining a helpful, non-pressured customer experience.
- Identify opportunities to recommend additional products or services.
Administration and Office Support
- Complete data entry, filing, scanning, photocopying, and document preparation.
- Maintain digital and physical customer records.
- Prepare invoices, receipts, reports, spreadsheets, and correspondence.
- Monitor office and reception supplies and place orders when required.
- Assist with basic bookkeeping tasks, payment tracking, and invoice administration.
- Coordinate internal calendars, meetings, and staff communications.
- Support management and other team members with day-to-day administrative tasks.
- Maintain confidentiality when handling customer, employee, and company information.
- Assist with opening and closing front-office procedures.
- Complete other reasonable duties as assigned.
Qualifications and Experience
- Previous experience in reception, customer service, administration, retail sales, or a similar front-of-house position.
- Strong verbal and written communication skills.
- Confident and professional telephone manner.
- Comfortable speaking with customers and following up on sales opportunities.
- Strong organizational skills and attention to detail.
- Ability to prioritize tasks and manage interruptions in a busy environment.
- Proficiency with Microsoft Office, Google Workspace, email, and general office software.
- Experience using a CRM, point-of-sale system, accounting software, or scheduling system is an asset.
- Ability to work independently while contributing positively to a team.
- Reliable, punctual, and professional in appearance and conduct.

Working Conditions
This is a full-time, on-site position working Monday to Friday from 8:30 a.m. to 5:30 p.m. The role involves regular computer and telephone use, frequent interaction with customers and visitors, and occasional movement or lifting of light office supplies and deliveries.
Compensation and Benefits
- Salary, depending on experience.
- Benefits Offered after 3 months.
- Vacation entitlement: Paid Vacation, 2 Weeks after the first year.
