Job Summary
We are looking to hire a personable dental receptionist to join our friendly, fast-paced dental team as soon as possible. In this role you will serve as the chief point of contact for our patients and ensure that dental patients’ appointments are appropriately scheduled, rescheduled, or canceled, depending on the needs of the patients.
To be successful in this role you should be able to perform all duties in a manner that ensures the efficient running of the dental practice. This includes tasks like entering patient information onto our data system, answering patients’ questions, and arranging referrals to other dental specialists as well as preparing billing statements.
Dental Receptionist Responsibilities:
Create a welcoming, professional and positive experience for every patient in person, by phone and through other office communications.
Greet patients warmly, answer questions and help them feel comfortable throughout their visit.
Answer incoming calls promptly and professionally, understand patient needs and provide helpful next steps.
Schedule, reschedule and cancel appointments while balancing patient needs and the efficiency bof the dental schedule.
Provide appointment confirmations and follow-up reminders, and proactively help fill schedule openings when appropriate.
Assist patients with forms and ensure patient information is accurate and up to date.
Prepare patient charts and daily schedules for the dental team.
Update patient records and accurately document relevant treatment and administrative information.
Coordinate referrals and communicate professionally with dental specialists and other providers.
Communicate with insurance providers regarding coverage, co-payments and other required information.
Explain payment expectations clearly and respectfully, verify payment methods and collect payments as required.
Handle patient questions or concerns with empathy, professionalism and a solutions-focused approach, escalating when needed.
Perform general administrative duties including telephone support, filing, scanning/photocopying and maintaining organized records.
Work closely with dentists, hygienists, assistants and other team members to support smooth daily operations.
Maintain patient confidentiality and follow all office policies and privacy requirements.
Learn new systems, processes and procedures and participate actively in training and ongoing development.
Dental Receptionist Requirements:

Strong communication and interpersonal skills, with the ability to remain calm, courteous and respectful.
A willingness and ability to learn; open to coaching, feedback and hands-on training.
Dependability, punctuality and a strong sense of responsibility.
Ability to manage multiple priorities and stay organized in a busy, fast-paced environment.
Attention to detail and comfort working with computers, phones and office systems.
Ability to work independently while also contributing positively to a team environment.
Professional judgment and discretion when handling confidential patient information.
Previous customer service experience is required
Dental or medical reception experience is an asset, but not required for a candidate with the right attitude and willingness to learn.
Office administration, medical administration or related education is an asset.

Monday to Saturday, 8:30 a.m. to 6:00 p.m.; 8-hour shifts with flexibility required
