We are seeking a positive, proactive B2B Sales Coordinator to support our Account Manager in driving our wholesale distribution website accounts. This is a critical support role that keeps our sales engine running smoothly. Managing communications, coordinating leads, maintaining CRM data integrity in SAP and delivering reporting that helps our team make informed decisions. The ideal candidate communicates clearly, takes ownership of the behind-the-scenes work that makes customer relationships succeed and has a positive, support-driven attitude. A background in or enthusiasm for the trading card industry is a welcome bonus.
Key Responsibilities
Email & Communication Coordination
- Manage and prioritize inbound and outbound email communications on behalf of the Account Manager, ensuring timely and professional responses to wholesale and distributor partners.
- Draft, format, and send order confirmations, follow-ups, pricing updates and promotional announcements to B2B accounts.
- Serve as a first point of contact for distributor and wholesale inquiries, routing complex issues to the appropriate team member.
- Maintain organized email workflows and ensure no lead or client request falls through the cracks.
Lead Coordination
- Track and manage inbound leads from initial inquiry through handoff to the Account Manager, ensuring a smooth and timely sales process.
- Qualify and research prospective wholesale and distributor accounts, providing background summaries to support Account Manager outreach.
- Coordinate follow-up schedules and ensure leads are consistently nurtured throughout the pipeline.
- Assist in preparing invoices, product information packages, and onboarding materials for new B2B accounts.
CRM Management (SAP)
- Maintain accurate and up-to-date records for all accounts, contacts, leads, and opportunities within SAP.
- Enter new leads, update account information and log all sales activities and communications in a timely manner.
- Audit CRM data regularly
- Support the Account Manager in utilizing SAP workflows to track deal progression and account health.
Reporting & Analysis
- Generate and distribute recurring sales reports, pipeline summaries, and account activity updates using SAP and other reporting tools.
- Compile data for weekly and monthly sales performance reviews, highlighting key trends and areas of opportunity.
- Respond to ad hoc reporting requests from the Account Manager and senior leadership with accuracy and speed.
- Help maintain and improve reporting templates to streamline ongoing data needs.
Required Qualifications
- 2+ years of experience in a sales support or sales coordination role preferably in a B2B, wholesale, or distribution environment.
- Hands-on experience with SAP or a comparable enterprise CRM/ERP platform; ability to learn new systems quickly.
- Strong written communication skills and comfort drafting professional emails and client-facing correspondence independently.
- Highly organized with exceptional attention to detail and the ability to manage multiple priorities simultaneously.
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word); comfortable working with data and basic reporting.
- Collaborative team player who takes initiative and works well with minimal supervision in a hybrid work environment.
Preferred Qualifications
- Experience supporting wholesale, distributor, or B2B account management teams.
- Familiarity with the trading card industry is a strong bonus.
- Experience with sales reporting, pipeline management, or business intelligence tools.
- Exposure to order management or supply chain workflows within SAP or similar ERP systems.
- Ability to identify process inefficiencies and suggest improvements to workflows or CRM practices.
Schedule & Work Environment
- Full-time position with a hybrid work arrangement with a combination of in-office and remote work days as agreed with management.
- Standard business hours with occasional flexibility required to support account needs across time zones.
- Office-based work will take place at Surrey Office and reliable internet access required for remote days.
