What We're Looking For: We're looking for an experienced Event Manager who thrives in a fast-paced, client-focused environment and takes genuine pride in delivering exceptional events. Job Responsibilities:
- Consult with clients to discuss event vision, details, and budget to help their vision become a reality;
- Coordinate and execute all aspects of event arrangements necessary to ensure client objectives and expectations are met including working with clients in menu planning, beverage requirements, room setup, audio and visual requests, decor, detailing and securing services of outside vendors;
- Respond to all event inquiries and client requests in a timely fashion, maintaining thorough communication with clients from initial planning to final event billings;
- Creation, management and reconciliation of budgets, final accounting of project revenues and expenses;
- Manage supplier RFP’s, negotiations, and contracts;
- Supervise and train event coordinators, onsite staff, and event contractors;
- Lead client site inspections;
- Manage and maintain project timelines, priorities, and critical path;
- End to end event management – ensuring that all projects are punctual, that all stakeholders are communicated within a timely and professional manner and that no detail is left to chance from the initial briefing, through the planning and execution on-site, to final event review and reconciliations;
- Maintain up-to-date documentation and develop new templates as needed;
- Develop creative ways to solicit and generate new business;
- Attend industry event trade shows and events as required;
- Support Operations Manager and Director, Client Experience & Strategic Partnerships with special projects as required.
Qualifications:
- Post-secondary degree or certificate in relevant field;
- Proven experience as Event Manager - at least 10 years (agency experience preferred);
- Proven experience planning and executing complex Association events is required;
- Skilled in project management;
- Tech savvy; proficient in MS Office and event registration platforms;
- Outstanding communication and organizational skills;
- Strong problem-solving skills;
- Customer-service orientation;
- Bilingual Canadian French is an asset.
