About the Role
Back Office Stars is looking for an experienced Canadian bookkeeper with strong cloud-accounting skills and hands-on experience supporting non-profit organizations.
You'll join a collaborative, fully remote bookkeeping team supporting organizations across Canada. This role is ideal for someone who understands fund and program tracking, grants, restricted funding, budget reporting, and the unique bookkeeping requirements of non-profit organizations.
You will begin as an independent contractor, with the opportunity to gradually increase your client portfolio and potentially transition to an employee position over time.
What You'll Do
- Complete monthly bookkeeping and account reconciliations in QuickBooks Online and Xero.
- Maintain bank, credit card, payroll, clearing, prepaid, deferred revenue, accounts receivable, and accounts payable accounts.
- Manage invoicing, bill payments, accounts payable, accounts receivable, and transaction follow-up.
- Prepare and file GST/HST and provincial sales tax returns where applicable.
- Identify discrepancies, investigate unusual balances, and resolve bookkeeping issues.
- Communicate directly with clients to obtain information and keep monthly work on schedule.
- Support year-end preparation, audits, and accountant requests.
- Manage Canadian payroll for clients with approximately 2–30 employees.
Non-Profit Bookkeeping
You should have demonstrated experience and expertise with:
- Tracking revenue and expenses by fund, program, class, department, or funding source.
- Maintaining restricted and unrestricted fund records.
- Accounting for grants, donations, deferred revenue, designated funding, and program expenses.
- Reconciling donation platforms, payment processors, and funding deposits.
- Preparing fund reports and budget-to-actual reporting.
- Supporting reporting requests from management, boards, funders, accountants, and auditors.
- Supporting an annual audit.
- Identifying incorrect fund allocations or incomplete supporting documentation.

Strong Excel or Google Sheets skills are an asset, and you should be comfortable learning new cloud-based software.
What We're Looking For
Required:
- 5+ years of Canadian cloud-based bookkeeping experience.
- 2+ years working in a bookkeeping or accounting firm managing multiple client files.
- Strong bookkeeping experience with non-profit organizations.
- Experience with fund, class, program, or grant tracking.
- Experience with restricted funding, deferred revenue, grants, or donations.
- 5+ years of QuickBooks Online experience.
- QuickBooks Online ProAdvisor Certification.
- Experience with Dext.
- Experience preparing GST/HST returns where applicable.
- Experience managing Canadian payroll.
- Strong written and verbal English communication skills.
Preferred:
- Xero Advisor Certification.
- Several years being trained by and/or working under a CPA.
- Experience preparing management or board reporting.
- Formal bookkeeping education or CPB designation.
Availability
This is a remote role with flexibility, but our clients and team operate during regular Canadian business hours.
You should:
- Be available for at least 20 hours per week as your portfolio grows.
- Have meaningful weekday availability during Canadian business hours.
- Respond to client and team communication promptly during the workday.
- Be comfortable participating in daytime video meetings.
This role is not designed for only evenings and weekends and is not compatible with another full-time daytime position.
Applicants must be physically based in Canada and legally entitled to work in Canada.
How We Support You
During your first few months, you'll work on client files supported by a senior team member while learning our workflows, quality standards, and communication expectations.
Once you are consistently demonstrating strong accuracy, responsiveness, and reliability, you'll begin managing your own client portfolio with support from our Team Leader and senior bookkeepers.

Pay: $26.00-$32.00 per hour
