As a support and client relations expert, the Service Appointment Coordinator provides essential continuity between the client during booking and appointment follow-up, as well as supporting the effective flow of vehicles through the service department. Responsibilities include:
· Make outbound phone calls regarding service needs and available offers
· Answer a high volume of incoming calls from customers to schedule appointments
· Make follow-up phone calls to customers to book service appointments
· Send out appointment reminders by email to our existing customer base
· Respond to customer inquiries both by phone and email
· Meet or exceed appointment booking targets and appointment show ratio targets
· Provide customers with vehicle and service information as required
· Keep detailed records of appointments booked, phone calls made and customer comments
Requirements:
· Proficient in Microsoft Office Applications (Word, Excel, Outlook)
· Previous appointment coordinator and/or automotive experience is an asset
· Experience with CDK System is an asset
· Excellent customer service skills with positive and courteous telephone etiquette
· Strong organizational and time management skills
· Ability to multi-task without compromising on quality
· Ability to prioritize tasks according to importance in a fast-paced environment
· Excellent verbal and written communication skills
· Ability to interact professionally with both co-workers and our customers
· Extremely dependable and punctual
· Driver’s License (an abstract will be required prior to hire)
