Young Industries Group is hiring a full-time Administrative Office Coordinator for our main office in Springdale, Newfoundland and Labrador.

The person in this role will be the first point of contact for visitors, clients, partners, vendors, and team members who call or visit the Young Industries Group main office.
The Administrative Office Coordinator will help create a professional, welcoming, and well-organized office environment while supporting the day-to-day administrative needs of our main office and related divisions.

Vacation:
Two weeks of annual vacation entitlement. Vacation pay will be paid at 4% on each biweekly pay.
About the Role:
The Administrative Office Coordinator will support the daily operation and professional image of the Young Industries Group main office. This role includes reception, general office administration, office supply coordination, mail and shipping, travel support, meeting coordination, kitchen and common area readiness, and practical day-to-day support for the office team.
The successful candidate will be someone who takes pride in keeping things organized, enjoys working with people, and is willing to help wherever needed to keep the office moving in a smooth and efficient way.
Accounting experience is not required, but it would be considered an asset. Young Industries Group is willing to train the right person in basic accounting and accounts receivable support tasks as needed.
Key Responsibilities:
Responsibilities include:
- Greet visitors, clients, vendors, partners, and team members in a friendly and professional manner
- Answer incoming calls to the main office number and direct calls appropriately
- Take clear and accurate messages when required
- Provide general administrative support to the main office team
- Prepare, scan, copy, file, and organize documents as needed
- Assist with basic correspondence, forms, records, and office materials
- Support meeting preparation, including printing, room setup, refreshments, and required supplies
- Coordinate food, beverages, or catering for in-house business meetings when requested
- Arrange outside restaurant reservations for business meetings when required
- Help arrange business travel, including flights, accommodations, vehicle rentals, ferries, and related travel details
- Pick up, sort, and distribute daily mail
- Prepare outgoing mail and courier shipments
- Maintain a practical inventory of office supplies and daily consumables
- Ensure office supplies, beverages, snacks, kitchen supplies, and cleaning supplies are stocked
- Check with office staff before placing supply orders
- Keep the kitchen, meeting spaces, and common areas clean, tidy, and presentable
- Provide basic administrative support to accounting staff when needed and trained
- Assist with accounts receivable or basic accounting support tasks where assigned and trained
- Maintain confidentiality when handling business, employee, financial, or client information
- Support executive team members, division leaders, and office staff with practical administrative needs
Qualifications:
The successful candidate should have:
- High school diploma or equivalent
- Previous experience in office administration, reception, customer service, or a related role
- Strong communication and interpersonal skills
- Friendly, professional, and helpful approach
- Strong organizational skills and attention to detail
- Ability to manage multiple tasks in a busy office environment
- Comfort using email, Microsoft Word, Excel, and general office software
- Ability to answer phones professionally and direct calls appropriately
- Ability to maintain confidentiality
- Willingness to learn new systems, processes, and basic accounting support tasks
- Reliable, punctual, and able to work independently once trained
- Valid driver’s licence
Assets:
The following would be considered assets:
- Post-secondary training in office administration, business administration, accounting, or a related field
- Previous experience in a multi-company or multi-division office environment
- Accounts receivable experience
- Basic bookkeeping or accounting experience
- Experience using accounting software such as Sage 50, QuickBooks, or similar systems
- Experience coordinating business travel
- Experience supporting meetings, catering orders, reservations, or business event logistics
- Experience handling mail, courier, inventory, or supply ordering
- Experience supporting executives, managers, or accounting staff
