Regulatory Affairs Specialist – Food Industry

Role Description
The Regulatory Affairs Specialist is responsible for ensuring full compliance with Canadian and U.S. food regulations, with a strong focus on labeling and product compliance requirements. This role supports new product development, maintains regulatory documentation, and ensures alignment between formulations, specifications, SAP systems, and final product artwork. The position works closely with R&D, QA, Packaging, Artwork, Supply Chain, and Manufacturing teams to ensure all products meet regulatory and customer requirements from concept through commercialization. This position reports directly to the QA & RA Director.
Key Responsibilities
- Maintain a strong and up-to-date understanding of Canadian and U.S. regulatory requirements, particularly food labeling regulations under SFCR and FDA regulations.
- Review, verify, and approve product labels, packaging artwork, ingredient declarations, allergen statements, and Nutrition Facts Panels (NFP) to ensure full regulatory compliance.
- Create, review, and maintain raw material (incoming) specifications and finished product specification sheets, ensuring accuracy and alignment with regulatory and customer requirements.
- Generate and validate Nutrition Facts Panels (NFP) and ingredient statements for new and existing products using Genesis.
- Collaborate closely with R&D and Artwork teams during new product development to ensure regulatory compliance from concept through commercialization.
- Provide regulatory guidance to internal teams on formulation changes, ingredient compliance, labeling implications, and regulatory requirements.
- Review product formulations, ingredients, and packaging artwork to ensure compliance with applicable regulations and customer-specific requirements.
- Respond to customer and regulatory document requests by preparing and providing required documentation (e.g., specifications, COAs, regulatory declarations, compliance letters).
- Maintain certification documentation and customer portals as required, ensuring timely submission and management of compliance documentation (e.g., Kosher, Organic, Non-GMO, Halal where applicable).
- Ensure alignment between SAP recipes, product specifications, and final artwork to maintain consistency and prevent labeling discrepancies.
- Coordinate and implement label and specification updates resulting from regulatory changes, formulation modifications, supplier changes, or customer requirements.
- Ensure proper substantiation and documentation of product claims (e.g., Non-GMO, Organic, allergen-free, clean label) in accordance with applicable regulations.
- Identify regulatory risks and compliance gaps and provide proactive recommendations to ensure compliance and minimize business impact.
- Perform other related duties as required.
Required Experience & Qualifications
- Bachelor’s degree in food science, Nutrition, Regulatory Affairs, or a related field (Master’s degree preferred).
- 2–3 years of experience in food regulatory compliance and labeling.
- Strong knowledge of Canadian and U.S. food regulations, especially CFIA/SFCR and FDA requirements.
- Knowledge of spices, seasonings, and dry blend formulations is required; experience in the spice or seasoning industry is considered a strong asset.
- Experience with specification management, NFP generation, and label review processes.
- Familiarity with SAP, Genesis, or similar systems is an asset.
- Strong attention to detail and excellent organizational skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong analytical, problem-solving, and communication skills.
- Ability to work effectively cross-functionally with R&D, QA, Packaging, and Supply Chain teams.

Pay: $60,000.00-$70,000.00 per year
