POSITION SUMMARY
We are seeking a highly organized, professional, and customer-focused individual to join our team as an Administrative Support / Receptionist. As the first point of contact for visitors, clients, and partners, this role is essential in creating a positive and welcoming environment. The successful candidate will provide front-line reception services, administrative support, and office coordination to ensure smooth day-to-day

What You Will Be Doing (roles and Responsibilities)
- As a front-line worker, present a positive and professional image of the organization to all visitors, suppliers, inquiries, and other interactions.
- Respond to telephone, e-mail, and in-person inquiries from clients, business partners, and other parties.
- Refer all inquiries to the appropriate individuals, divisions, or departments across the organization.
- Take and record telephone, e-mail, or written message for staff members.
- Organize, maintain, and coordinate office records and files in their proper locations.
- Where necessary, assist in compiling data for various reports.
- Coordinate the logistical aspects of departmental programs, such as meetings, special projects, and events including travel.
- Schedule appointments.
- Administer and manage inbound/outbound mail, including priority post, packages, courier services, and other correspondence.
- Maintain the reception and common areas in a tidy and presentable manner.
- Taking direction, ordering supplies, and running business-related errands as required
- Organize and maintain general office and board rooms, including scheduling.
- Minor accounting duties
- Liase with IT provider and trouble shoot in office computer issues.
- Other duties as required.
What will make You Successful (Qualifications)
- A college-level office administration program, or an acceptable combination of education and experience.
- Strong knowledge of general office procedures involving procurement
- Superior typing skills
- Strong knowledge of Microsoft Office products, including Excel, Word, and Sharepoint.
- Ability to set up and manage Zoom, Teams, and other communication platforms.
- General mathematical skills.
- Adjusts and is flexible to meet changing work needs and demands.
- Is fiscally responsible and suggests cost-saving measures.
- Able to maintain filing systems and basic databases.
- Meticulous records maintenance skills.
- Superior telephone manners and strong interpersonal skills.
- Strong written and verbal skills to communicate with all levels of the organization and its executive team.
- IT knowledge/troubleshooting is an asset.
What we Offer
- Full-time work Monday to Friday 9 am to 5 pm at our downtown Barrie location at 55 Mulcaster Street
