The Ladysmith Health Care Auxiliary is a vibrant, registered charity dedicated to supporting local health care initiatives. We operate a successful and busy Thrift Store powered by hundreds of dedicated volunteers. We are looking for an experienced professional to join our core team and help manage our financial and administrative operations.
Position Overview
- Full-Time Option (Bookkeeper & Administrator): Up to 40 hours per week. This expands the bookkeeping role to include database management, volunteer scheduling, general office administration, and special projects.
Key Responsibilities
Financial & Bookkeeping
· Record financial transactions: Maintain and update all financial records, including income, expenses, invoices and payments in Sage Accounting.
· Reconcile Accounts: Perform regular reconciliation of bank statements, credit card statements and other financial documents to ensure the accuracy of records. Review and reconcile outstanding balances and resolve discrepancies.
· Accounts Payable and Receivable: Manage accounts payable and receivable processes, ensuring timely payments and monitoring outstanding invoices.
· Manage Payroll: Process payroll, ensuring all employees are paid on time and handle related tax filings.
· Financial Reporting: Generate monthly and annual financial reports.
· Tax Compliance: Ensure compliance with all relevant laws and regulations and file PST returns and GST rebates in a timely manner
· Budget: Help prepare annual budget and track variances.
· Communication: Liaise with accountant at year end, providing necessary documentation and support. The successful candidate will have excellent verbal and written communication skills with the ability to convey financial information clearly to non-financial stakeholders
· Organizational Skills: Exceptional organizational skills with the ability to prioritize tasks and manage time effectively
· Maintain Digital Records. The financial records are all digital, stored in accessible cloud-based folders and must be kept organized for sharing with other users
· Confidentiality: Ensure absolute confidentiality regarding all financial and organizational data.
Administrative & Volunteer Support
- Manage organizational databases and ensure data integrity.
- Handle daily office operations and general administrative duties.
- Assist the Executive Director with special projects as mutually agreed upon.
- Support our large network of volunteers.
- Manage grant request database.
Qualifications & Requirements
- Experience: Proven professional accounting and bookkeeping experience.
- Software Skills: Proficiency in Sage Accounting and/or QuickBooks is required.
- Technical Skills: Proficiency in MS Office Applications, with strong skills in Excel.
- Attributes: High energy, positive attitude, attention to detail and outstanding organizational skills.
- Work Style: Ability to work independently with minimal supervision while delivering quick, accurate results.
- Communication: Exceptional verbal and written communication skills; ability to interact warmly with volunteers and the public.
