As a Client Care Coordinator, you will be our clients' first point of contact, providing friendly and professional assistance in person and over the phone. Your primary responsibility will be to ensure that our clients have a seamless and positive experience from the moment they contact our clinic. You will be crucial in managing client appointments, coordinating communication between clients and the veterinary team, and fostering lasting relationships with our clients.

Established in 1997, Garibaldi Veterinary Hospital and its sister Cats Only hospital are full-service veterinary hospitals in Squamish, serving clients along the Sea to Sky Corridor.

Responsibilities:
- Client Interaction: Greet clients warmly with a welcoming manner, creating a friendly and professional atmosphere. Accurately collect and update client information, including pet and medical history. Act as a knowledgeable resource, providing guidance and information about our services, products, and general pet care.
- Appointment Coordination: Schedule and manage appointments, ensuring efficient use of the veterinary team's time and resources. Coordinate with veterinarians, veterinary technicians, and other staff to ensure smooth scheduling and optimal patient care. Confirm appointment details with clients, including reminders and follow-ups, to minimize no-shows.
- Client Communication: Communicate effectively with clients, responding to inquiries, addressing concerns, and providing updates on patient progress. Relay messages between clients and veterinary professionals, ensuring clear and accurate information exchange. Maintain a professional and empathetic approach during emotional or challenging situations.
- Administrative Support: Assist with administrative tasks such as opening and closing duties, scanning documents, processing payments, maintaining client records, and managing inventory for front desk supplies. Ensure all paperwork is accurate, complete, and properly filed.
- Exceptional Customer Service: Strive to exceed client expectations by delivering exceptional customer service at every interaction. Listen attentively, show empathy, and anticipate client needs. Handle client feedback or complaints professionally, seeking ways to improve the client experience.
- Collaboration and Teamwork: Foster effective communication and collaboration within the veterinary team. Coordinate with veterinarians, veterinary technicians, and support staff to provide comprehensive and coordinated care for our patients. Work together to maintain a clean and organized reception area and clinic space. Picking up extra shifts to cover holiday time and being a strong team player. Cross-trained in all other areas of the business including lab and treatments.
Requirements:
- High school diploma or equivalent required.
- 2 years previous customer service experience, preferably in a veterinary or healthcare setting - entry level candidates will also be considered.
- Excellent communication and interpersonal skills, with the ability to create positive relationships with clients and colleagues.
- Strong organizational skills and attention to detail in managing client records, appointment schedules, and administrative tasks.
- Proficient in computer skills, including knowledge of veterinary practice management software.
- Empathy, patience, and the ability to remain calm and professional in high-pressure situations.
- Knowledge of basic veterinary medical terminology and procedures is a plus.
