Farzan Fallah Law Corporation is seeking a reliable, organized and detail-oriented Legal Administrative Assistant to join our growing legal team. The successful candidate will provide comprehensive administrative and file-management support in a busy law-office environment.
Responsibilities
- Open, organize, maintain and close physical and electronic client files.
- Prepare, format, revise and proofread correspondence, legal documents, forms, affidavits, submissions and document packages.
- Manage lawyers’ calendars, appointments, deadlines, limitation dates and hearing schedules.
- Communicate professionally with clients, courts, tribunals, government offices, opposing counsel and other third parties.
- Schedule client meetings, examinations, hearings and other appointments.
- Prepare document briefs, PDF packages, indexes, exhibit books and electronic filing materials.
- Perform electronic filing with courts, tribunals and government authorities.
- Maintain accurate client information, notes, tasks, deadlines and billing records in Clio.
- Assist with client intake, conflict checks, retainer agreements and collection of identification and supporting documents.
- Draft routine emails and follow up with clients regarding outstanding documents, appointments and deadlines.
- Scan, merge, organize, bookmark, paginate, redact and secure PDF documents.
- Assist with invoicing, payment follow-ups and general office administration.
- Maintain confidentiality and handle sensitive client information with professionalism.
- Provide other administrative and legal support as required.
Required Qualifications
- Previous administrative or legal-office experience.
- Strong proficiency in Adobe Acrobat, Microsoft Word, Excel, Outlook and other Microsoft Office applications.
- Strong proficiency in Clio Manage or comparable legal practice-management software.
- Excellent written and verbal communication skills in both English and Farsi.
- Strong document-formatting, proofreading and file-management skills.
- Excellent attention to detail and ability to follow instructions accurately.
- Ability to manage competing deadlines and work efficiently in a fast-paced environment.
- Professional judgment, discretion and respect for client confidentiality.
- Ability to work independently and collaboratively as part of a small legal team.
- Legal Administrative Assistant certificate or related education is preferred.
