The Media Sales Operations Assistant serves as the operational backbone of our multi-platform sales division. In this role, you will provide critical support directly to the Director of Sales, Sales Managers, and our teams of Account Executives. Your mission is to streamline internal processes across all of our media properties—including radio, television, print, digital, and emerging media products. This is an internally focused, highly administrative role centered on sales preparation, multi-platform inventory coordination, contract entry, and cross-departmental liaison work.
Responsibilities Include:
1. Database & Systems Administration

Multi-Platform Data Entry: Input and manage contract and order data across legacy traffic systems, digital managers, and CRMs to ensure a seamless workflow.

ERP & Nextcloud Transition: Assist with data entry, file organization, and workflow mapping as we build out our custom ERP system and integrate Nextcloud for team collaboration.

CRM & Pipeline Management: Administer the CRM system to track sales leads, manage pipelines, and automate workflows across the regional team.
2. Campaign Coordination & Traffic Support

Asset Tracking: Coordinate campaigns across radio, TV, print, and digital by tracking down and routing creative assets (commercial copy, audio, video, digital banners) from sales reps to creative teams.

Traffic Liaison: Act as the central internal link to the Traffic Department to secure scheduled ad spots, resolve log conflicts, and troubleshoot scheduling issues.

Internal Onboarding: Coordinate the internal setup of new client accounts and gather campaign performance data to ensure reliable execution across our Northern Ontario markets.
3. Director & Sales Team Support

Reporting & Dashboards: Compile and run weekly, monthly, and quarterly reports to provide sales performance and pacing insights for sales leadership.

Process Automation: Identify and implement backend process improvements using automation tools to reduce manual administrative work.

Meeting & Event Logistics: Coordinate team meetings, prepare agendas, take minutes, and assist with corporate events and executive travel arrangements.

Sales Collateral: Assist in creating clean, cohesive sales proposals and media kits using digital design tools, ensuring all materials align with Dougall Media brand guidelines.
4. Other duties as assigned related to the team objectives.
Requirements for this Position:

Minimum of two (2) years of experience in an administrative, database, operations, or sales support role. Experience in media, broadcasting, or advertising is considered an asset.

Strong aptitude for learning new technologies, including CRM systems, ERP platforms, and cloud-based collaboration tools such as Nextcloud.

Advanced proficiency in Microsoft Office, particularly Microsoft Excel.

Excellent data entry accuracy with exceptional attention to detail.

A valid driver’s licence is an asset.
