Job Summary
The Inventory Control & Operations Coordinator is responsible for maintaining the accuracy and integrity of inventory records while supporting the day-to-day financial and administrative operations of the Peterborough location. This position combines inventory control, purchasing administration, cash management, and office coordination to ensure efficient store operations.
Working closely with yard staff, retail associates, accounting, purchasing, and management, this role helps maintain accurate inventory levels, processes supplier documentation, reconciles daily financial transactions, and supports operational excellence across all Kingdon Timber Mart locations.
Inventory Control & Management
· Coordinate and maintain accurate inventory records within the BisTrack ERP system.
· Work with yard and retail staff to conduct scheduled and cycle inventory counts.
· Compare physical inventory with system records and investigate discrepancies.
· Research, correct, and report inventory variances.
· Coordinate inventory transfers and inventory balancing between Kingdon Timber Mart locations.
· Prepare inventory reports, shortage reports, and stock valuation reports.
· Identify depleted, obsolete, damaged, or slow-moving inventory and recommend appropriate action.
· Maintain accurate records of inventory quantities, values, and product locations.
Purchasing & Receiving Administration
· Review supplier confirmations against Purchase Orders (POs) for accuracy.
· Verify pricing, quantities, and product details prior to receiving inventory.
· Process supplier invoices promptly within the BisTrack ERP system.
· Resolve invoice, receiving, and pricing discrepancies with vendors and internal departments.
· Support purchasing activities by maintaining accurate supplier documentation.
· Assist management with purchasing supplies and equipment as authorized.
Financial & Cash Management
· Process customer payments and financial transactions accurately.
· Balance cash drawers and reconcile daily cash receipts.
· Maintain the company petty cash fund.
· Prepare secure daily bank deposits.
· Maintain accurate financial records related to cash handling activities.
· Ensure all financial documentation is complete and filed appropriately.
Office Administration
· Maintain organized accounting and operational filing systems.
· Monitor office supply inventory and coordinate replenishment.
· Order and distribute office supplies, forms, and staff apparel.
· Provide administrative and clerical support to management.
· Prepare operational reports, spreadsheets, and documentation as required.
· Assist with special projects and operational initiatives.
Communication & Collaboration
· Work closely with accounting, purchasing, yard, sales, and management teams.
· Coordinate inventory-related communication between Kingdon Timber Mart locations.
· Support staff with inventory processes and system-related questions.
· Promote accurate record keeping and operational best practices.
Qualifications
· Previous experience in inventory control, purchasing, accounting, retail operations, or office administration preferred.
· Experience with Epicor BisTrack or similar ERP/POS inventory systems is an asset.
· Strong Microsoft Excel, Word, and Outlook skills.
· Strong mathematical and analytical abilities.
· Excellent organizational and time-management skills.
· High attention to detail and accuracy.
· Excellent written and verbal communication skills.
· Ability to work independently and as part of a team.
· Dependable, professional, and willing to learn.
· Reliable transportation.
Success in This Role
· Maintain highly accurate inventory records.
· Ensure supplier documentation and invoices are processed promptly and accurately.
· Complete daily financial reconciliations with minimal discrepancies.
· Support efficient purchasing and inventory replenishment.
· Provide timely administrative support to management.
· Help improve operational efficiency and customer service across Kingdon Timber Mart.
Pay: $20.00-$28.00 per hour
