Medical Aesthetics Receptionist & Client Care Coordinator (Part-Time)

Lumea X Medical Aesthetics Clinic is seeking a professional, personable, and highly organized Medical Aesthetics Receptionist & Client Care Coordinator to join our growing team.
This role is essential in creating an exceptional client experience, supporting daily clinic operations, and helping maintain the high standard of care our clients expect.
Schedule
- Part-time position
- Approximately 25 hours per week
- 3 days per week in clinic (approximately 7 hours per day)
- Additional 3–5 hours per week working remotely to assist with appointment management and client communication

Responsibilities
- Greet clients warmly and professionally, creating a welcoming environment
- Schedule, confirm, and manage appointments efficiently
- Answer phone calls, text messages, emails, and client inquiries professionally
- Follow up with existing, previous, and prospective clients
- Maintain accurate client records and documentation
- Assist with intake forms, consent forms, and administrative paperwork
- Process payments and maintain accurate billing records
- Coordinate appointment scheduling and client communications to support smooth clinic operations
- Take high-quality before-and-after photos and videos of treatments
- Assist with organizing treatment rooms and maintaining a clean, professional clinic environment
- Monitor clinic supplies and administrative inventory
- Support the clinic owner with day-to-day administrative tasks
- Maintain strict confidentiality when handling client information
Qualifications
- Fluency in both English and Persian (Farsi) is required
- Excellent communication and customer service skills
- Strong organizational skills and attention to detail
- Friendly, professional, and confident personality
- Comfortable using computers, scheduling software, social media, and messaging platforms
- Ability to multitask and work efficiently in a fast-paced environment
- Self-motivated with strong problem-solving skills
- Previous experience in a medical, dental, wellness, spa, or aesthetics setting is an asset but not required
Compensation
- $18–$22 per hour, based on experience
- Performance review after probation period
