Job Overview
We are seeking a highly organized and detail-oriented Executive to join our team. The ideal candidate will provide comprehensive administrative support, manage scheduling, and ensure smooth office operations. This role requires excellent communication skills, proficiency with various software tools, and the ability to handle multiple tasks efficiently. The Executive will serve as a key point of contact within the organization, supporting leadership and maintaining high standards of professionalism and confidentiality.
Responsibilities
- Manage calendars and schedule appointments using Microsoft Outlook Calendar and Google Workspace.
- Handle incoming calls via multi-line phone systems with professional phone etiquette.
- Perform data entry, filing, and document proofreading to ensure accuracy and organization.
- Utilize QuickBooks for basic bookkeeping tasks and financial record keeping.
- Prepare reports, correspondence, and presentations using Microsoft Office applications.
- Coordinate meetings, prepare agendas, and take meeting minutes as needed.
- Assist with front desk duties including greeting visitors and managing office supplies.
- Use DocuSign for electronic document signing processes.
- Maintain organized digital and physical filing systems to support administrative efficiency.
- Provide exceptional customer service to clients, vendors, and internal teams.
Experience
- Prior office experience in an administrative or clerical role is preferred.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools.
- Experience with QuickBooks or similar bookkeeping software is a plus.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent typing speed and data entry accuracy.
- Familiarity with multi-line phone systems and front desk operations.
- Demonstrated professionalism in handling sensitive information with discretion.
- Knowledge of office procedures including filing, proofreading, and calendar management is desirable. Pay: $17.00-$18.00 per hour
