We are currently seeking a Hardware Coordinator for the day-to-day execution of hardware recovery, inventory management, and asset processing activities for managed device programs. This is a hands-on operational role requiring strong attention to detail, process discipline, and effective communication. The successful candidate will coordinate hardware returns, receive and inspect devices, maintain accurate inventory records, assess device condition, and ensure all asset information is recorded accurately within company systems. This role works within established processes and procedures to support a high-volume hardware operations environment while delivering a positive customer experience.

What you will do
1. Hardware Recovery & Returns• Coordinate hardware return requests with end users, customers, and courier partners.
- Track returned devices through the recovery process to ensure assets are received and accounted for.
- Follow established procedures for hardware collection, receipt, and chain-of-custody documentation.
- Escalate missing, delayed, or exception-based returns as required.
2. Inventory & Asset Management• Receive, inventory, and reconcile returned hardware and peripherals.
- Maintain accurate asset records in ConnectWise and other tracking systems.
- Update device status, storage location, serial numbers, and related asset information.
- Perform periodic inventory audits and assist with inventory reconciliation activities.
3. Device Inspection & Condition Assessment• Conduct physical inspections of returned devices.
- Evaluate hardware condition using defined scoring criteria and documentation standards.
- Record cosmetic and functional findings accurately and consistently.
- Identify devices requiring repair, refurbishment, redeployment, or retirement.
4. Ticket Management & Documentation• Process assigned tickets and workflow tasks within established service levels.
- Ensure all activities, updates, and asset records are documented accurately.
- Maintain operational documentation and follow standard operating procedures.
- Identify process improvement opportunities and provide feedback to leadership.
5. Customer & Internal Coordination• Communicate professionally with customers regarding hardware returns, shipment status, and asset-related inquiries.
- Coordinate with internal teams to ensure returned assets are processed efficiently.
- Provide timely updates on asset status and outstanding actions.1.
We would love to hear from you if you have
- 2–3 years of experience in hardware operations, logistics, inventory management, asset management, or a related operational role.
- Experience handling high-volume hardware transactions and inventory processes.
- Experience shipping, receiving, packaging, and processing IT equipment.
- Familiarity with asset tracking systems, ticketing systems, or PSA platforms (ConnectWise preferred).
- Strong attention to detail and data accuracy.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Ability to follow documented processes and maintain consistent execution.
- Proficiency with Microsoft Office applications, particularly Excel.
- Experience working in an MSP, IT services, logistics, or asset management environment.
- Familiarity with laptop and endpoint hardware from major manufacturers (Dell, Lenovo, HP, Apple).
- Experience with asset recovery, device refurbishment, or reverse logistics programs.
- Knowledge of Apple Business Manager (ABM) or device enrollment programs.
