Overview
The Summer Student – Maintenance Administrative Support position provides high-quality administrative support to the maintenance team, ensuring efficient daily operations and clear communication across departments. This role is designed to bridge clerical administration with operational logistics, providing hands-on exposure to property management systems, procurement tracking, and inventory control within an affordable housing environment.
Working under the direct guidance of the Maintenance Director and Manager, the student will manage maintenance records, assist with supply logistics, verify financial documentation, and deliver excellent customer service. The ideal candidate will possess exceptional organizational abilities, strong digital proficiency, and a foundational understanding of provincial tenancy and workplace safety guidelines.
Key Accountabilities
General Administrative & Team Support
- Provide high-quality administrative support to the maintenance team to streamline daily operational workflows.
- Highly proficient in the preparation of detailed reports, professional business correspondence, and internal communications.
- Assist the Director and Manager of Maintenance with general maintenance administration and related operational duties.
- Deliver effective communication, strong interpersonal skills, and high-quality customer service when interacting with staff, vendors, and residents.
Inventory & Supply Chain Logistics
- Assist with the logistical distribution of equipment, materials, and supplies related to building maintenance and building repairs.
- Maintain an accurate, up-to-date inventory of maintenance supplies, specialized tools, and operational equipment.
- Review and confirm the absolute accuracy of purchase orders, purchase requisitions, invoices, and financial statements.
- Route verified financial documents to obtain the proper signing authority required for prompt payment processing.
Property Management & Digital Systems
- Learn, easily grasp, and proficiently utilize YARDI property management software for data entry, work order tracking, and record keeping.
- Demonstrate an excellent working knowledge of MS Word, Excel, PowerPoint, Teams, and Outlook software to manage data, schedule meetings, and compile documentation.
Qualifications
Education, Training, and Experience
- Currently a student who is enrolled in, or interested in entering a post-secondary program, trade school or relevant educational stream
- Must successfully clear a criminal record check (backcheck) to work with vulnerable populations.
Knowledge, Skills, and Abilities
- Working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Microsoft Teams.
- Ability to quickly learn, adapt to, and operate YARDI property management software.
- Aptitude to learn financial administrative tasks, including invoice reconciliation and purchase order auditing.
- High attention to detail with the ability to maintain precise inventory logs and financial records.
- Collaborative skills to support management and coordinate effectively with on-site maintenance personnel.
- Strong communication and customer service skills.
