POSITION: Dispatcher / Operations Coordinator
REPORTS TO: Branch Manager
KEY ACCOUNTABILITIES:
The Operations Coordinator is responsible for leading a fleet of drivers (both company and subcontractors) acting as the liaison between the company, the client, and the driver. The Dispatcher will be the first point of contact for all aspects of the company’s day-to-day activities as well as the client’s service needs.

RESPONSIBILITIES
Safety
- Adhere to and ensure compliance with all applicable company, client and legislative regulations, policies, practices and procedures.
- Promote a positive safety culture through “Safety Starts with Me” and company values.
- Successfully complete approved/certified training where required.
- Refuse work you feel is unsafe and report it immediately to your supervisor.
- Report all injuries and incidents immediately to appropriate company personnel (and customer representatives when required).
- Conduct Accident/Incident Report when required.
- Participate in toolbox talks with crews weekly.
Documentation
- Ensure clear verbal and written communication.
- Ensure that all applicable documentation (Field Level Hazard Assessments (FLHAs), Work Orders, checklists, etc.) is completed in full and is clear and easy to read.
- Ensure that records are signed where applicable.
- Support the Plan, Do, Check, Act cycle as it applies to documentation and company records.
- Track out of service units due to mechanical issues.
- Verifies and approves Daily work orders ensuring Operator and Job Accuracy.
- Review employee work orders and prepare quotes
Operations
- Plan, Coordinate, Dispatch and Execute Daily Workload within the Parameters of CBA.
- Ensure paperwork is completed for safety, payroll, driving related items and day-to-day requirements as needed.
- Assist in developing and ensuring all documentation (Job Hazard Analysis, Field Level Risk/Hazard Assessments, logbooks, timesheets, and pre/post trip inspections) are accurate and meet regulatory and administrative requirements.
- When delegating, the Operations Coordinator must ensure that expectations and results are clearly and effectively communicated.
- Be the primary point of contact for the fleet of Operators to ensure that the company’s and Client’s, policies and procedures are followed.
- Work closely with the client’s planners to assist with driver’s availability and hours of service available.
- Look for ways to streamline procedures without jeopardizing the accuracy of the overall procedure.
- Ability to work with minimal supervision in a team and safety focused environment.
- Ability to Plan and, when required, re-plan daily work with minimal supervision.
- Hold workers accountable where applicable for appropriate maintenance reporting protocols, adequate minor repairs when possible, and hold employees responsible for reporting deficiencies or out of service items (ensure employee engagement and understanding as required).
- Develop and participate in the rotational on call program for night and weekends phone coverage.
- Work with the maintenance department on priority of repairs for units in shop and, scheduling out of service repairs ensuring minimum down time and loss of revenue.
- Work with Yard Supervisor(s) to ensure waste ins/outs are correct and accurate.
