United Disposal is a growing waste management and disposal company serving residential, commercial, and construction clients. We are looking for a reliable, organized, and professional Office Administrator to join our team and help support our day-to-day operations.
Position Summary
The Office Administrator will play a key role in managing office operations, customer communications, payroll support, dispatch coordination, invoicing, and collections. The ideal candidate is highly organized, detail-oriented, and able to multitask in a fast-paced environment.
Key Responsibilities
- Answer incoming phone calls and respond to customer inquiries professionally.
- Schedule and coordinate waste bin deliveries, pickups, and dispatch activities.
- Assist with daily dispatch operations and communicate with drivers regarding schedules and service requests.
- Prepare and process employee payroll and maintain payroll records.
- Create and send invoices to customers.
- Follow up on outstanding invoices and collect payments from clients.
- Record payments and maintain accurate accounts receivable records.
- Maintain customer files, contracts, and office documentation.
- Assist with data entry, filing, and general administrative tasks.
- Coordinate with management, drivers, and customers to ensure smooth operations.
- Monitor office supplies and place orders when necessary.
- Prepare reports and assist with other office duties as required.
Required Skills & Qualifications
- Previous experience in an administrative, office coordinator, or office manager role.
- Strong customer service and communication skills.
- Excellent phone etiquette and professional demeanor.
- Experience with payroll processing and invoicing.
- Basic accounting and bookkeeping knowledge.
- Strong organizational and time-management skills.
- Ability to prioritize tasks and work independently.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Experience with dispatching, logistics, transportation, or waste management is an asset.
- Strong attention to detail and accuracy.
- Ability to handle confidential information professionally.
Preferred Qualifications
- Experience with accounting software such as QuickBooks, Sage, or similar systems.
- Knowledge of accounts receivable and collections.
- Experience in the construction, transportation, or waste management industry.
