HVAC Service Dispatch Coordinator

Job Summary
We are seeking a highly organized, HVAC Service Dispatch Coordinator to support our service operations team. This position is central to maintaining excellent customer satisfaction and keeping our technical team moving through the GTA with precision.
Key Responsibilities:
- Able to schedule mechanics & advise customer of response time based on urgency of service call
- Prepare Work Order Sheets & other documentations
- Daily billing contract customers, time & material & comprehensive contract customers
- Must be able to understand HVAC & Refrigeration maintainance issues
- Dispatching includes Service Call Dispatch, Monthly Maintenance Inspections, Construction Dispatch, Basic Repair & Maintenance, (T&M) and Major Repairs (T&M)
- Processing weekly payroll for approx. 5 mechanics
- Familiar in ordering of HVAC parts & materials from different suppliers
- Set up new customers, suppliers, and contractors in the system
- Manage shipping/receiving documentation for parts and equipment
- Collaborate with internal team to prepare and distribute professional customer quotations
- Prepare month end reports for job costing & accounts receivable
Qualifications
- Industry Experience: Minimum 5 years in the Commercial HVAC industry (or a similar mechanical trade)
- Experience using Jonas Construction Software is highly preferred
- Accurate data entry skills with strong typing proficiency to support payroll and billing functions etc.
- Excellent organization skills
- Must have good communication skills
