Position Summary
The Event Coordinator is responsible for coordinating the day-to-day operations of the Club's bar & kitchen while planning and delivering a wide variety of member, committee, and private events. Working closely with the General Manager, this position helps create an exceptional experience for members and guests by ensuring events are well organized, bar operations run efficiently, and food and beverage services are effectively supported.
The role also supports kitchen operations through purchasing, ordering, and inventory management, while supervising hospitality staff and maintaining high standards of customer service.
Key Responsibilities
Event Planning & Coordination
- Plan, coordinate, and execute member social events throughout the year.
- Coordinate private functions, including weddings, celebrations, meetings, and corporate events.
- Support the operational delivery of Management Committee, Racing, Junior Sailing, and other Club events.
- Meet with members and clients to discuss event requirements and prepare event plans.
- Coordinate event logistics, room set-up, staffing, catering, entertainment, and vendor requirements.
- Ensure event spaces are prepared before each function and restored following completion.
- Evaluate events and recommend improvements to enhance the member and guest experience.
Bar & Food Service Operations
- Coordinate the day-to-day operation of the Club bar, ensuring exceptional customer service and efficient operations.
- Support kitchen operations through the ordering, receiving, and inventory management of food, beverages, and related supplies.
- Maintain appropriate inventory levels and complete regular inventory counts for bar and kitchen operations.
- Monitor product usage and assist in controlling costs through effective inventory management.
- Develop and maintain positive relationships with suppliers and place orders as required.
- Assist the General Manager with monitoring food and beverage costs and identifying operational efficiencies.
- Ensure compliance with liquor licensing regulations, food safety requirements, and Club policies.
Staff Leadership
- Train, schedule, and supervise bartenders and hospitality staff.
- Provide leadership and support during Club events and daily operations.
- Promote excellent customer service and a positive team environment.
- Assist with onboarding and ongoing staff development.
- Monitor staff performance and communicate concerns or recommendations to the General Manager.
Administration
- Maintain the Club's event calendar and booking schedule.
- Prepare event contracts, invoices, and correspondence as required.
- Maintain accurate inventory, purchasing, and event records.
- Assist with event budgeting and financial tracking.
- Support monthly reporting as requested by the General Manager.
Member & Guest Experience
- Provide exceptional service to members, guests, sponsors, and visitors.
- Respond professionally to inquiries, concerns, and event requests.
- Foster a welcoming, friendly, and inclusive atmosphere throughout the Club.
- Promote Club events and encourage member participation.
Qualifications
- Minimum five years' experience in hospitality, food and beverage, event coordination, or customer service.
- Experience coordinating events or private functions is considered an asset.
- Strong organizational and time management skills with the ability to manage multiple priorities.
- Excellent interpersonal, communication, and customer service skills.
- Experience with purchasing, inventory management, and point-of-sale systems is an asset.
- Working knowledge of Microsoft Office.
- Nova Scotia Responsible Beverage Service certification (or willingness to obtain).
- Food Handler Certification is considered an asset.
- Valid driver's licence is required.

Working Conditions
- Primarily Wednesday through Sunday schedule.
- Regular evening, weekend, and holiday work.
- Standing for extended periods.
- Ability to lift up to 25 kg (55 lbs).
- Fast-paced environment with multiple priorities during the boating season.
Pay: $45,000.00-$50,000.00 per year
