Golden Arrow School Buses Ltd. is seeking a highly organized and detail-oriented Administrative Assistant to support our team in various administrative tasks. The ideal candidate will possess strong communication skills, proficiency in office administration, and the ability to handle multiple responsibilities efficiently, a self-starter who thrives in a fast-paced, high-volume environment and can confidently collaborate across multiple departments. This role is essential for ensuring smooth operations within our organization and will involve a mix of clerical duties, project coordination, and executive administrative support
Key Responsibilities:
- Provide comprehensive administrative support to the President and Vice President of Administration, including calendar management, meeting coordination, travel arrangements, and preparation of documents and reports
- Act as a liaison between all departments, ensuring smooth communication and efficient workflow
- Interact with third-party vendors to coordinate services, maintain professional relationships, and ensure timely follow-up on deliverables
- Manage a variety of tasks with a high degree of accuracy and efficiency, often under tight deadlines
- Maintain and organize records, reports, and filing systems to ensure accuracy and accessibility
- Answer phones and transfer calls to appropriate departments
- Accept and sign off on incoming packages and delivering to appropriate departments or staff members
- Assist in the coordination and execution of special projects and provide general operational support as needed
- Maintain and regularly update internal phone and contact lists
- Assign, generate, and review fuel usage reports for accuracy and compliance, as well as order new fuel cards when needed
- Coordinate with Human Resources on new employee onboarding and administrative account setup
- Maintain and update various spreadsheets when required
- Assist with getting insurance requirements, tagging buses, license plates ect.
- Act as a leasing coordinator, supporting documentation and communication for company property or equipment leases
- Oversee scheduling and booking of meetings, appointments, and other business-related activities
- Other tasks as assigned by manager
Qualifications:
- Proven experience in an administrative role or personal assistant capacity
- Strong organizational skills and attention to detail with the ability to prioritize tasks effectively
- Strong communication and interpersonal skills
- Ability to work independently with minimal supervision
- Strong phone etiquette with the ability to communicate clearly and professionally
- Adaptable and resourceful
- Team-oriented with a collaborative mindset
- Strong problem-solving and time-management skills
Requirements:
- Minimum 2 years of experience in an administrative role within the transportation industry
- Proven experience working in a high-volume environment, managing multiple priorities simultaneously
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.)
- Reliable transportation to and from work (limited public transportation access in the area)
Schedule: Monday to Friday, 8:30AM to 5:00PM
Compensation: $18 - $27 or based on experience
