Job Summary
ScotiaMed Family Practice is seeking reliable, friendly, and organized individuals to join our team as a Part-Time Walk-In Clinic Administrator for day or evening shifts (4:30pm-8:00pm).
The successful candidate will be responsible for providing excellent customer service to patients while supporting the day-to-day administrative operations of the Walk-In Clinic. This is a fast-paced position that requires someone who can remain calm and professional while assisting multiple patients and handling competing priorities.
Key Responsibilities
- Greet and assist patients in a friendly, professional, and respectful manner.
- Answer and direct patient inquiries in person and by telephone.
- Check patients in and ensure demographic and contact information is accurate and up to date.
- Manage patient flow and assist with the clinic's appointment and ticketing processes.
- Book, confirm, reschedule, and cancel appointments as required.
- Assist physicians and other clinic staff with administrative tasks.
- Prepare, organize, and distribute paperwork and documents.
- File patient documents accurately and efficiently using alphabetical and/or numerical filing systems.
- Retrieve and organize patient charts and other clinic records.
- Process forms, fees, receipts, and other administrative transactions as required.
- Receive and send faxes and other medical correspondence.
- Assist with scanning, photocopying, printing, and document preparation.
- Maintain an organized and clean reception and administrative area.
- Follow clinic policies and procedures regarding patient privacy and confidentiality.
- Communicate professionally with patients, physicians, healthcare providers, pharmacies, and other organizations.
- Perform other administrative duties as assigned.

- The ability to communicate clearly and respectfully with patients from a variety of backgrounds.
- Strong organizational skills and excellent attention to detail.
- The ability to alphabetize and file documents accurately and efficiently.
- Basic computer skills and the ability to learn new computer programs and systems.
- The ability to type and enter information accurately.
- The ability to multitask and prioritize work in a busy environment.
- Good judgment and the ability to handle sensitive and confidential information appropriately.
- A dependable, punctual, and responsible work ethic.
- The ability to work independently while also functioning effectively as part of a team.
- A calm and professional demeanor when dealing with difficult, upset, or frustrated patients.
- Willingness to learn clinic procedures, terminology, and administrative systems.
Training will be provided to accepted candidates.
Pay: $16.87-$18.00 per hour
