About the Role:
The Payroll Coordinator is responsible for administering and processing payroll accurately and on time for all employees. This role maintains payroll records, ensures compliance with federal, provincial, and local regulations, and serves as a resource for employees regarding payroll inquiries. The Payroll Coordinator collaborates with the Human Relations and Finance teams to maintain payroll data that is accurate, confidential, and properly documented. The position requires strong attention to detail, organizational skills, and the ability to manage sensitive information while supporting a positive employee experience.
Some accountabilities associated with the role include:
Prepare and process semi-monthly payroll for the organization.
Posting payroll uploads into our financial system and entering manual journal entries as needed.
Receiving and clearing payroll reimbursements
WSIB, Employer Health Tax, and Canada Summer Jobs reconciliation
Reviewing and verifying timesheets, attendance records, wage changes, and other payroll data.
Maintain employee payroll records and ensure data accuracy within payroll systems.
Administer payroll deductions, garnishments, taxes, and benefit withholdings.
Reconcile payroll reports and assist with audits and compliance requirements.
Collaborate with HR and Finance teams regarding new hires, terminations, compensation changes, and benefit updates.
Prepare payroll-related reports and maintain confidential records.
Respond to employee inquiries regarding pay, taxes, deductions, and payroll procedures.
Skills and Qualifications:
2 to 5 years minimum of payroll processing experience
Experience working within a Human Resources Information System (Required)
Experience in using Workday or similar Payroll systems (Preferred)
Post-secondary Diploma/Degree/Certificate in an applicable field
Familiar with the Employee Standards Act
Knowledge of payroll practices, wage and hour laws, payroll software systems, and Record of Employment.
Excellent attention to detail and organizational abilities.
Ability to handle confidential information with discretion.
Effective communication skills.
Proficiency in Microsoft Office applications including Word, SharePoint, and Excel.
Membership with the Human Resources Professional Association (HRPA) or National Payroll Institute (NPI) valued but not required
