Job Overview
Our client is seeking a Project Administrator II to provide administrative, financial, and coordination support for project and community engagement activities. This role is responsible for supporting project teams through financial administration, event coordination, compliance activities, documentation management, and day-to-day operational support. The successful candidate will work closely with project teams, external consultants, vendors, and internal stakeholders to ensure processes are completed efficiently, records are maintained accurately, and project-related activities are executed effectively. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities

Manage purchase orders, including initiating, revising, and closing orders to support procurement activities and budget management.

Track project and team budgets, monitor expenses, and provide financial reporting as required.

Submit, track, and reconcile payment requests while resolving discrepancies in a timely manner.

Manage team expense reports and support financial administration activities.

Support sponsorship applications for local communities and Indigenous groups by guiding applicants and internal stakeholders through corporate citizenship processes.

Coordinate community engagement events and activities to support stakeholder relationships and organizational objectives.

Order, track, and maintain inventories of promotional materials and event supplies.

Coordinate event logistics, including venue bookings, accommodations, catering, transportation, and vendor payments.

Organize and distribute regulatory notifications to support compliance requirements.

Review, edit, and maintain engagement logs to ensure accurate documentation and reporting.

Coordinate meeting minute reviews and facilitate timely finalization and distribution of records.

Assist with SharePoint administration, records management, and document organization.

Monitor and triage shared project inboxes and incoming inquiries, ensuring prompt responses and appropriate escalation when required.

Maintain team calendars, scheduling activities, and access permissions for shared collaboration platforms.

Support vendor onboarding activities and maintain vendor documentation.

Coordinate travel arrangements, meeting logistics, and expense reporting for leadership team members.

Attend project, team, and event planning meetings and provide administrative support as required.

Collaborate effectively with project teams, consultants, community engagement teams, Indigenous engagement teams, vendors, and other stakeholders.
Qualifications

Relevant post-secondary education and a minimum of 3 years of administrative experience, or an equivalent combination of education and experience.

Experience supporting project teams, financial administration, event coordination, or community engagement activities.

Intermediate to advanced proficiency with Microsoft Office Suite, SharePoint, email systems, internet navigation, and general computer applications.

Strong organizational, planning, and multitasking abilities with exceptional attention to detail.

Excellent interpersonal, verbal, and written communication skills.

Ability to manage multiple competing priorities while meeting deadlines in a fast-paced environment.

Demonstrated ability to work independently with minimal supervision and take initiative when addressing tasks and challenges.

Strong time management skills and the ability to adapt to changing priorities and frequent interruptions.

Experience coordinating meetings, travel arrangements, vendor management, and administrative processes.

Ability to quickly learn new systems, processes, and procedures while maintaining a high level of accuracy and professionalism.

Strong customer service orientation and commitment to supporting internal and external stakeholders.
