Position Summary
The Events Coordinator is responsible for supporting the Events, Catering, and Restaurant operations within the School of Hospitality, Culinary Arts. The role serves as the primary point of contact for event inquiries and coordinates all aspects of event bookings from initial inquiry through execution. Responsibilities include client relations, event planning, event documentation, marketing and promotional activities, financial administration, and collaboration with internal departments to ensure successful event delivery within a student-centered learning environment.
Responsibilities
- Act as the primary contact for event inquiries and conduct site visits and venue tours.
- Coordinate event bookings and gather detailed event requirements, including room setup, catering, and special requests.
- Prepare, update, and distribute Banquet Event Orders (BEOs) and event documentation.
- Collaborate with Facilities, IT, Security, Culinary, and other departments to ensure seamless event execution.
- Develop and maintain promotional materials, website content, and social media communications.
- Process event payments and invoices, monitor outstanding accounts, and maintain accurate financial records.
- Conduct post-event follow-up and client satisfaction reviews.
- Support menu planning and operational logistics with the General Manager and Executive Chef.
- Assist with on-site event operations, troubleshooting, and experiential learning opportunities for students.
- Participate in open houses, program events, and other institutional initiatives as required.
Qualifications/Experience
- Two-year diploma or equivalent in Hospitality Management, Event Planning, Sales and Marketing, or a related field.
- Minimum three years of experience in event sales, event planning, catering, hospitality, or a related industry.
- Experience working within hotel, hospitality, catering, restaurant, or event operations environments.
- Experience coordinating large-scale events and managing multiple priorities simultaneously.
- Knowledge of event management and catering software (e.g., Caterease) is considered an asset.
- Strong customer service, communication, relationship-building, and organizational skills.
- Demonstrated ability to solve problems, manage competing priorities, and work collaboratively with internal and external stakeholders.
- Experience with process improvement, event administration, and financial tracking is preferred.
