Position: Administrative Assistant - Midwifery Clinic
Location: Midwives Grey Bruce: Walkerton Clinic Employment Type: Part-Time (2 days/week)
Hours: Approximately 16 hours per week, with occasional flexibility to provide vacation and sick coverage at our Owen Sound clinic as needed.

About Us
Midwives Grey Bruce is a busy, collaborative midwifery practice providing comprehensive prenatal, birth, and postpartum care to families throughout Grey and Bruce Counties.
We are seeking a friendly, organized, and detail-oriented Administrative Assistant to join our team. This position is ideal for someone who enjoys working in a fast-paced healthcare environment, is passionate about providing excellent client care, and thrives on organization and multitasking.
As the first point of contact for many of our clients, you will play an important role in creating a welcoming experience while supporting our midwives in providing exceptional care. At Midwives Grey Bruce, you'll become part of a close-knit team where your work directly contributes to the care and wellbeing of local families.
Key Responsibilities
Reception & Client Care
- Welcome clients and visitors in a professional and compassionate manner.
- Answer and direct telephone calls, emails, voicemails, and other inquiries.
- Communicate effectively with clients, hospitals, laboratories, imaging departments, and community partners.
- Confirm and modify appointments, ultrasounds, and consultations.
- Notify clients of upcoming appointments and provide appointment instructions.
- Maintain client confidentiality in accordance with PHIPA and clinic policies.
Administrative Support
- Complete client intakes and maintain waitlists.
- Maintain accurate electronic medical records using Accuro EMR, including scanning, filing, chart preparation, and document management.
- Prepare and send clinic correspondence and outgoing mail using Ocean.
- Support day-to-day administrative requests from the midwifery team.
Clinic Operations
- Open and close the clinic each day.
- Coordinate ultrasounds, laboratory services, courier pickups, discharge appointments, and other clinic administrative tasks.
- Input on-call schedules into Accuro and maintain the clinic Google Calendar.
- Support communication and coordination between midwives and administrative staff.
Supplies & Office Maintenance
- Maintain a clean, organized, and welcoming clinic environment.
- Restock clinic rooms, washrooms, and office supplies.
- Monitor inventory and expiry dates of medical supplies.
- Prepare home birth and postpartum kits.
- Assist with sterilization and autoclaving of instruments following infection prevention and control standards.
Qualifications
The ideal candidate will have:
- Post-secondary education in Office Administration, Medical Office Administration, Health Administration, or a related field preferred.
- Previous experience in a healthcare or medical office environment preferred.
- Excellent communication, organizational, and customer service skills.
- Strong computer skills, including Microsoft Office.
- Experience with Accuro EMR is considered a strong asset.
- Strong attention to detail with the ability to prioritize and manage multiple responsibilities in a fast-paced environment.
- A professional, compassionate, and client-centred approach.
Assets
- Experience working in a community healthcare or midwifery practice.
- Knowledge of medical terminology.
- Familiarity with BORN Ontario.
- Experience using electronic medical records (Accuro preferred).
