The Project Coordinator is the Construction Manager's accountable officer for project documentation, administrative coordination, and information management. The Construction Manager relies on this role to keep the project's records in order so that the construction team can focus on building.
This is a key operational role supporting the successful execution of Flatstone projects. The Project Coordinator acts as a critical liaison between the field, subcontractors, suppliers, and internal stakeholders — ensuring the right information is in the right hands at the right time, and that nothing falls through the cracks administratively while the construction team is focused on execution.
Document Control & Record Integrity
Maintain complete, accurate, and current project records, including drawings, specifications, RFIs, submittals, change orders, and correspondence
Manage the drawing register and revision logs, ensuring controlled distribution of the latest document revisions
Organize records so that any team member can find what they need quickly, keeping documentation audit-ready throughout the project lifecycle
RFI & Submittal Tracking
Manage and track all open RFIs and submittals, preparing submissions and following up on outstanding responses
Maintain a live log of open items and flag any at risk of impacting the schedule before they cause a delay
Provide labour and material pricing to support change order and site instruction processes
Meeting Minutes & Action Item Follow-Through
Prepare and distribute meeting agendas and attend internal and client project meetings
Produce accurate, timely meeting minutes and maintain a current action-item tracker distributed to relevant parties
Track action items through to closure, helping hold internal and external parties accountable for their commitments
Subcontractor Documentation Compliance
Maintain a compliance tracking log across all active subcontractors, including LEMs, updated schedules, and daily field reports
Notify subcontractors of internal and client orientation requirements and submit personnel information to clients for site access
Proactively flag documentation deficiencies before they become audit or payment issues
Cost Coding & Invoice Processing Support
Ensure invoices and purchase orders are coded correctly and processed in coordination with the Site Administrator
Track, verify, and support submission of daily LEMs to client requirements, and manage the purchase order process
Support progress invoicing and cash-flow forecast preparation, and review client change documentation for accuracy and contractual alignment
Evaluate subcontractor and vendor pricing using bid comparison tables
Schedule Support & Field Coordination
Assist in maintaining and updating the project schedule and coordinating material requisitions and delivery tracking
Support pre-mobilization activities and monitor field progress and quality compliance
Support project close-out documentation, including statutory declarations and substantial completion packages
Diploma or certificate in Construction Management, Business Administration, or a related field, or an equivalent combination of education and experience
2–4 years of experience in a project coordination, document control, or administrative support role in construction or industrial sectors
Proficient in Microsoft Office (Excel, Word, Outlook) and document control or project management software
Experience with LEMs, purchase orders, and change order processes considered an asset
Familiarity with Saskatchewan occupational health and safety regulations
Strong attention to detail and accuracy in record-keeping and reporting
Highly organized, with strong attention to detail across multiple concurrent documentation streams
Proactive communicator who keeps the Construction Manager and field team informed before issues become problems
Comfortable managing recurring administrative cadences — daily, weekly, and monthly — with minimal direct supervision
Effective liaison between the field, subcontractors, suppliers, and internal stakeholders
