ELEMENTARY TEACHERS’ FEDERATION OF ONTARIO INVITES APPLICATIONS FOR THE POSITION OF MANAGER, MEMBER RECORDS AND RELEASE ADMINISTRATION
The Manager, Member Records and Release Administration will be responsible for overseeing the areas of member & information records and member release, ensuring data integrity, efficient operations, and high-quality service to members. This position will work closely with the senior leadership team to implement best practices and enhance departmental performance.
Key responsibilities for this position include, but are not limited to the following:
General Duties:
Member Records
- Maintain data accuracy and completeness within the membership database
- Analyze existing database structures and workflows to propose enhancements that improve operational efficiency
- Lead, coach, and develop a team of staff to achieve organizational goals and objectives
- Act as a primary point of contact for member inquiries, ensuring prompt and professional service
- Create custom database queries to ensure data accuracy and integrity
- Guide staff in handling unique member queries and producing basic reports
- Respond to requests regarding membership statistics and prepare reports as required
- Prepare, deploy and analyze the annual all-member survey
- Lead and guide a team of staff in generating accurate member lists to support successful and efficient voting processes
Organizational and Information Records
- Conduct ongoing review and classification of ETFO’s organizational records
- Enforce best practices for information and records management
- Manage the central records centre, ensuring proper control over ETFO’s records and archives in accordance with established policies and procedures
- Enforce quality control and security protocols for effective records lifecycle management
- Management of physical records stored on-site and off-site
- Provide support to ETFO staff on electronic document management
- Fulfill internal requests for information from user departments and individuals
- Stay current with knowledge of records and electronic document management systems, procedures and technologies to support continuous improvement and compliance
Release Time
- Maintain accurate data on member release time and relevant school board contacts
- Analyze existing database structures and workflows to propose enhancements that improve operational efficiency
- Oversee and maintain professional, clear communication with staff, local presidents, members, and school board officials
- Coach and support staff with handling complex or unique release time queries
- Oversee the reconciliation of school board invoices with internal release time records, and ensure timely submission for payment
Additional Duties:
- Coordinate stewards’ gifts, and oversee stewards mailings
- Respond to district school board inquiries
- Perform other duties as assigned
Preferred skills and qualifications of candidates include:
- Strong interpersonal, analytical, problem-solving, and decision-making skills
- Ability to communicate positively with internal staff, political and organizational representatives, while maintaining a high level of professionalism and confidentiality
- Excellent organizational and time management skills with the ability to multi-task, prioritize, and adapt easily to shifting and/or conflicting deadlines
- Demonstrated self-directed, independent work style that encompasses an ability to work integrally with a well-established senior and support team
- Proven leadership and people management experience
- Post-secondary education in business or a related field (preferred)
- Proficiency in Microsoft Office 365, Microsoft Dynamics 365, CRM, and OpenText (Enterprise Content Management Systems)
- Solid understanding of data management and reporting
- Demonstrated knowledge of accounting and financial processes to support effective budgeting and resource management
