JOB SUMMARY: The Financial Assistant Reports to and works under the direction and supervision of the Six Nations Built Environment Financial Control Officer (FCO).
Minimum $46,300 - $57,900/yr
*A competitive compensation package will be offered commensurate with qualifications. *
BASIC QUALIFICATIONS:
- An accredited post-secondary degree in the Accounting/General Business/General Administration
OR
- An accredited post-secondary diploma related to Accounting/General Administration with 2+ years of work-related experience in Finance and General Administration.
OR
- 5 years of related work experience
- High level of computer skills: Microsoft Office specifically Microsoft Word and Microsoft Excel, and a computerized accounting system.
- Knowledge of office equipment.
- Possess willingness to take direction and instruction.
- Possess initiative and the ability to work independently.
- Experience in preparing financial reports.
- Excellent communication and organizational skills.
- Understands the importance of Confidentiality. Ability to work with tact and discretion.
- Good knowledge of the Six Nations of the Grand River Community and highly sensitive to Six Nations of the Grand River culture.

POSITION DESCRIPTION
POSITION TITLE: Financial Assistant
REPORTING RELATIONSHIP:
Reports to and works under the direction and supervision of the Six Nations Built Environment Financial Control Officer (FCO).
PURPOSE AND SCOPE OF THE POSITION:
Assisting the Built Environment Financial Control Officer in the performance of financial duties related to the activities of the Six Nations of the Grand River Public Works and Housing departments while ensuring adherence to the policies and procedures established by Six Nations of the Grand River Elected Council.
Assisting the Built Environment Financial Control Officer, in planning, developing and maintaining financial services for all programs within the Public Works and Housing departments while ensuring adherence to the policies and procedures established by Six Nations of the Grand River Elected Council.
KEY DUTIES & REPSONSIBLITIES:
Technical Functions:
- Processing, verifying and balancing financial accounts and business transactions, such as, accounts receivable, and enter data into the accounting software General Ledger or computerized systems.
- Prepare monthly balance sheet reconciliations and address reconciling receivable amounts in collaboration with the FCO.
- Assists with the residential mortgage software, TEA (The Exceptional Assistant) by CommonGoals Software used in the management of Six Nations of the Grand River Elected Council Housing Loans.
- Prepare, revise and interpret financial statements as required.
- Verify that budget information entered in computerized accounting system is balanced to approved budget. Provide changes to funders agreements to FCO.
- Obtain working knowledge of the financial section of Funding Agreements.
- Assist FCO with the preparation of Public Works and Housing annual budgets
- Validate petty cash reconciliations on a monthly basis.
- Prepare capital asset report monthly, as per invoice received forward to central administration.
- Assist with Monthly, Quarterly and Annual Funder reporting as required.
- Ensures invoices are correct, properly coded to applicable expenditure accounts and in accordance with current Six Nations of the Grand River policies and procedures.
- Prepare journal entries with appropriate support for posting as required.
Communication Functions:
- Assist the FCO with the Annual Audit, Special Audits and Audit Reviews.
- Prepare financial statements for Housing and Public Works and send to FCO for distribution to the Director of Public Works and Senior Manager of Housing.
- Support the FCO with ad-hoc requests from Central Finance Leaders and/or Senior Manager of Housing and/or Director of Public Works.
- Assist in email/phone communications from Public Works and Housing departments regarding various reporting requests, and inquiries regarding payables.
Administrative Functions:
- Assist with the preparation of briefing notes for financial requests.
Other Functions:
- Performing other related duties as may be required by the Built Environment FCO.
- Performing related clerical duties, such as maintaining filing and record systems, completing reports and answering enquiries
This position requires interaction with the public and is subject to interruptions and requires the ability to take direction, prioritize activities, work independently & within the team and meet deadlines.
WORKING RELATIONSHIPS:
With the Built Environment Financial Control Officer
Receives direction, guidance, encouragement; discusses plans and priorities regarding Built Environment Finance.
With Built Environment
Maintain accounting systems in conjunction with Public Works and Housing’s Finance Department.
With Chief Financial Officer, Director of Accounting, Director of Financial Planning and Analysis, Director of Public Works, and Senior Manager of Housing
Ensuring completeness and accuracy of financial reporting by program
With Other Staff and Public
Represents and promotes the Built Environment interests of Six Nations; works in a courteous, co-operative positive and proactive manner, provides information and advice.

IMPACT OF ERROR:
Failure to accurately monitor department finances could result in a deficit situation impacting Six Nations of the Grand River finances.
Failure to accurately monitor projects could result in underspending and having to reimburse funding agencies from the program’s budget. Funder may view this as an opportunity to reduce funding to the program.
Errors in judgement and in the conduct of duties will lead to loss of credibility, poor public relations, confusion, duplication of effort and misinformation being given to the Director of Public Works, Senior Manager of Housing, Six Nations of the Grand River Elected Council, Government Agencies and the public.
CONTROL:
Working within the financial and administrative policies and procedures established by the Six Nations of the Grand River Elected Council and other legislation provided by the relevant government agencies.
