CSummary of Responsibilities:
The Inside Sales Representative is the quoting engine of the Wilcox sales team. Outside Sales brings in the request; you turn it into an accurate, complete quotation for customized, engineered-to-order truck bodies — fast. No two quotes are identical: this is not catalog part-number lookup. It is a high-volume, deadline-driven role: multiple quotes in motion at once, customers expecting quick turnaround, and no room for pricing or specification errors.
You are also a direct line to the customer. You will clarify requirements by phone and email, correct misinformation before it reaches a quote, and suggest design changes that improve efficiency — working closely with the Design Team, Production, and the Sales Coordinator.
Like every sales role at Wilcox, there is no complete playbook. You learn the product independently, build your own structure, and manage your own deadlines without being chased.
Responsibilities include but are not limited to:
- Own quote production for the Outside Sales team: take the rep’s request and convert it into an accurate, complete quotation. The Outside team sells; you quote.
- Manage multiple concurrent quotes under tight turnaround expectations. Prioritize, track, and hit every deadline — your own and those set for you.
- Accuracy first: verify specifications, pricing, options, and chassis details before a quote leaves the building. An error caught after the purchase order costs real money.
- Communicate directly with customers by phone and email to clarify requirements, correct misinformation, and confirm details before quoting.
- Suggest design changes that improve efficiency, and help steer requests toward comparable Wilcox standard models and specifications, working with the Design Team.
- Liaise daily with Design, Production, and the Sales Coordinator on quote feasibility, lead times, and capacity.
- Process quote revisions and change requests quickly, and document every change.
- Enter and maintain accurate customer, deal, and quotation records in HubSpot CRM and Wilcox ERP systems.
- Deliver strong customer service on every interaction — you will often be the customer’s most frequent contact at Wilcox.
- Learn the product independently through shop floor time, drawings, and Bills of Materials. Product mastery here is self-driven — it will not be handed to you.
- Document your quoting processes and lessons learned. You will help build the playbook this role currently lacks.
Skills/Abilities:
- Accuracy-obsessed: catches the wrong part number, price, or spec before the customer does.
- Thrives under pressure: handles multiple quotes, competing deadlines, and fast turnarounds without letting quality slip.
- Self-structured: builds their own systems to track work in progress; never needs chasing on a deadline.
- Self-teacher and self-starter: a proven history of mastering a technical product without formal training or a handover manual.
- Strong customer service instincts: professional, responsive, and calm — including with frustrated customers.
- Clear communicator by phone and email; comfortable telling a customer their information is wrong, politely.
- Computer literate: fast and confident across Microsoft 365, CRM, and ERP software; picks up new systems quickly.
- Team player who supports the Outside Sales team without ego — their win is your win.
Job Knowledge or Work Experience:
- 2+ years in inside sales, quoting/estimating, order desk, or customer service in a manufacturing or technical environment preferred.
- Experience preparing quotations for customized, engineered-to-order, or configured product a strong asset. Catalog part-number quoting alone is not sufficient preparation for this role.
- Ability to read basic drawings and specifications an asset.
- Working knowledge of Microsoft Office; CRM (HubSpot) and ERP/MRP experience an asset.
Education:
- Technical or post-secondary diploma related to the industrial field, or equivalent experience.
- Yellow or Black belt and/or Six Sigma training/designation an asset.
Physical Demands and Working Conditions:
- Wears all required PPE when at manufacturing facility
- Regular exposure to noise/temperature and/or adverse weather conditions/work outside
- Regular working schedule, day shift
Additional Job Requirements:
- Possess valid drivers license and have reliable car
- Possess valid Passport and be available and able to travel
- May be required to work outside of normal working days and hours
