Job Summary
We are seeking a highly organized and detail-oriented Office Manager to oversee daily administrative operations within our office environment. The ideal candidate will possess strong clerical and customer service skills, with experience in office management, bookkeeping, and medical or dental office procedures. This role requires excellent organizational abilities, proficiency in various software tools, and the capacity to manage multiple tasks efficiently. The Office Manager will serve as the front desk representative, handle data entry, maintain filing systems, and ensure smooth communication across departments.
Responsibilities
- Oversee scheduling, appointment setting, and calendar management for staff and clients
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks
- Maintain organized filing systems both digitally and physically, ensuring easy retrieval of documents
- Handle billing, invoicing, and bookkeeping duties using QuickBooks or similar accounting software
- Provide exceptional customer support by addressing inquiries promptly and professionally
- Assist with administrative tasks such as proofreading documents, preparing reports, and managing correspondence
- Support medical or dental office functions by managing patient records, insurance claims, and appointment coordination (if applicable)
- Coordinate office supplies procurement and ensure office equipment is maintained properly
- Support team members with clerical duties such as typing, document proofreading, and data management
Requirements
- Proven experience in office management or administrative roles; experience in medical or dental offices is a plus
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, QuickBooks, and other relevant software tools
- Strong computer skills with the ability to perform data entry accurately and efficiently
- Excellent organizational skills with keen attention to detail
- Exceptional customer service skills with professional phone etiquette and communication abilities
- Experience handling multi-line phone systems and front desk responsibilities
- Ability to manage filing systems both electronically and physically
- Strong typing skills along with proofreading capabilities for document accuracy
- Clerical experience including bookkeeping or medical/dental office procedures preferred
- Ability to multitask effectively in a fast-paced environment while maintaining professionalism
Pay: From $17.60 per hour
