The Eastern Ottawa Psychological Centre (EOPC) is seeking a bilingual Administrative Assistant to join our team who encompasses the qualities we hope to foster including warmth and kindness, professionalism, and compassion for others.
What you will do:
· Manage communication with clients. You will be the first point of contact for clients and other business professionals. You will need to be non-judgemental and respectful in your approach with clients who are dealing with very personal and sensitive situations. You will need to use critical thinking and judgement to manage client requests and the level of priority of their needs. You will need to be assertive and decisive while being kind and compassionate to the needs of others. At all times it is critical you respect our clients’ privacy and confidentiality.
· Aid with business management. You will be progressively asked to help with operational components of the clinic’s functioning. Tasks will include; photocopying, faxing, processing payments, management of the waitlists, and overseeing billing of services.
· Eventual management of the clinic functioning when in person services commence. At the present time this position is posted in the context of telework. However, we aim to return to in-person services, where additional tasks will be added. This includes; greeting clients and helping orient clients when arriving at the clinic, tidying up the reception area, ensuring everything is well stocked and receiving, sorting, and distributing daily mail/deliveries.
What we are looking for in you
· Exceptional communicator; we are looking for a highly skilled interpersonal communicator (verbal and written) who is sensitive to mental health issues. You are the first point of contact with our clients who experience various levels of distress. This will be an essential quality for this position.
· Technologically skilled; we are looking for someone who is comfortable learning new software programs used at the clinic including Owl practice, Quickbooks, online payment programs, excel and dropbox.
· Attention to detail; we are looking for someone who pays close attention to detail.
· Integrity and honesty; qualities such as integrity, honesty, reliability, punctuality, and professionalism are essential to conduct the necessary tasks due to the sensitive nature of our field.
Requirements:
You must be fluent in French and English.

For the time being, this role will be carried out in the context of telework. You will have flexibility with your schedule. You are required to work 7 hours a week 25$/hour (needing to put in some hours every second day, not allowing 48hrs without verification of voicemails/emails). You will receive 2 weeks vacation in addition to a week during the Christmas break when the clinic is closed.
