We are looking for an organized and customer-focused Operations Coordinator – Deficiencies & Warranty to support our service operations. This remote position is responsible for coordinating equipment-deficiency repairs, preparing quotes, reviewing Fluidlife sample results, ordering parts, supporting warranty activities, and scheduling technicians.
The successful candidate will work closely with customers, Service Managers, Technical Leads, Technicians, the Parts Department, Shipper/Receivers, and external vendors to ensure service work is completed efficiently and accurately.
Key ResponsibilitiesQuoting and Service Orders
- Prepare customer quotes to address identified equipment deficiencies.
- Prepare parts quotes for customers.
- Create quotes for follow-up repairs or diagnostic visits based on Fluidlife sample results.
- Work with Technical Leads and Service Managers to prepare accurate and competitive customer quotes.
- Support service orders throughout their lifecycle, from the initial quote through the final invoice.
- Maintain accurate service-order information and supporting documentation in Odoo.
Fluidlife Sample Management
- Review Fluidlife sample results and identify equipment deficiencies requiring follow-up.
- Create deficiency records based on sample findings.
- Upload equipment and sample files to Fluidlife.
- Review unregistered sample files and correct missing or inaccurate information.
- Coordinate diagnostic visits or follow-up work when required.
Deficiency Management
- Identify and document equipment deficiencies.
- Work with the Parts Department and Technical Leads to establish a clear repair plan.
- Coordinate the parts, labour, and technical resources required to complete repairs.
- Schedule repairs efficiently to minimize equipment downtime.
- Ensure repairs are properly planned to prevent unnecessary return visits.
- Monitor open deficiencies and follow up until the required work has been completed.
Parts Coordination
- Order parts required to complete deficiency repairs.
- Order stock parts as needed.
- Coordinate parts requirements with Technicians and Shipper/Receivers.
- Track the availability and receipt of required parts.
- Ensure received parts are accurately recorded in Odoo.
- Confirm that the necessary parts are available before scheduling repair work whenever possible.
Warranty Administration
- Coordinate warranty-related service activities.
- Maintain accurate warranty documentation and supporting records.
- Work with internal departments, customers, and vendors to resolve warranty matters.
- Monitor warranty work through completion and ensure required information is properly documented.
Service Scheduling and Dispatch
- Schedule and dispatch technicians for preventative maintenance, rental-related service work, deficiency repairs, and diagnostic visits.
- Dispatch technicians for emergency service calls.
- Adjust schedules proactively when urgent customer requests arise.
- Balance technician availability with customer priorities and operational requirements.
- Coordinate with external vendors when additional service support is required.
- Minimize customer equipment downtime through effective scheduling and communication.
Resource Management
- Assign technicians in Odoo based on their technical skill sets and geographic availability.
- Consider labour, parts, equipment, travel, and other resource requirements when scheduling work.
- Maximize daily technician productivity while maintaining realistic schedules.
- Confirm that assigned technicians have the certifications required for each job.
- Ensure scheduling decisions account for job-site safety requirements and customer-specific procedures.
Customer Service and Communication
- Maintain clear, professional, and timely communication with customers.
- Provide customers with relevant updates regarding quotes, parts, scheduling, deficiencies, and service completion.
- Facilitate communication among customers, Technicians, Technical Leads, Service Managers, the Parts Department, vendors, and other parties involved in service delivery.
- Respond promptly to questions, concerns, and changing service requirements.
- Maintain a high standard of customer service and support strong customer satisfaction.
Qualifications
- Previous experience in service coordination, dispatch, warranty administration, parts coordination, or a related operations role.
- Experience working in the power generation, heavy equipment, electrical, industrial service, or mechanical service industry is considered an asset.
- Experience preparing quotes and coordinating service orders from initial request through invoicing.
- Strong scheduling, prioritization, and resource-planning skills.
- Ability to understand technical service reports and identify required follow-up actions.
- Strong attention to detail and ability to maintain accurate documentation.
- Excellent written and verbal communication skills.
- Strong customer-service and problem-solving abilities.
- Ability to manage multiple priorities in a fast-paced service environment.
- Comfortable working independently in a remote position while collaborating with multiple departments.
- Experience using Odoo or another ERP/service-management system is considered an asset.
- Experience with Fluidlife or oil-analysis reporting is considered an asset.
- Proficiency with Microsoft Office, including Outlook, Excel, Word, and Teams.
