A multi-company office in Maple Ridge is seeking a full-time Administrative Assistant / Project Administrator to join our team. We have been in the construction industry for 15 years, with projects in the abatement, plumbing and construction industries, throughout the lower mainland. We emphasize the importance of teamwork and creating a positive environment to work and learn in.
Job summary
Reporting to the Project Managers, the Project Administrator will provide administrative support to the project management team and facilitate the coordination for multiple construction projects. This position is suitable for an administrator who has experience coordinating renovation services within the construction industry.
Job responsibilities
· Positively and professionally represent the company
· Provide administrative assistance to the Project Managers on several projects
· Ensure manual and computerized documentation standards are maintained throughout the project as per procedure manuals
· Ensure the dynamic ‘Master Job Schedule’ is up-to-date and accurate
· Arrange site-visits for Project Managers
· Assist with creation of quality quotation and scope documents
· Schedule site visits, project start and end dates with clients
· Communicate with sub contractors, suppliers and field staff
· Flag, detail and report all project variances
· Ensure the Project Manager is update with all communication regarding the project
· Ensure invoicing follows ‘Work Order’ particulars
· Validating project compliance, interacting with fulfillment staff, etc.
· Other office duties as assigned
Required Skills/Experience:
· Post-secondary education in a related field, or business, is an asset paired with 1 to 3 years’ experience in an administrative role (preferably within a construction environment)
· Previous administrative experience is required.
· Proficient with Microsoft Office (Word, Excel, Outlook) and MS Project with the ability to learn new programs when required
· Strong initiative and work ethic: energy, passion and enthusiasm coupled with compassion
· Ability to work well with other company team members in high pressure flexible situations
· Goal oriented and responsible
· Excellent problem-solving skills
· Delegation and communication skills
· Strong word processing and computer data-entry abilities
· Experience with SAGE50 Project Management software
· Strong assessment skills across a vast range of project conditions
· Excellent phone presence, customer service, and typing skills
· Familiarity with construction contracts, such as a CCDC contract, is preferred but not required
Job Types: Full-time, Permanent
Pay: $22.00-$26.00 per hour
