ABOUT THE POSITION
We are currently looking for one (1) Administrator, Assessments for a permanent, full time role.
The Administrator, Assessments provides comprehensive administrative and operational support to the Exams, Invigilation, and Challenge teams within the Assessments Department. The position is responsible for supporting the efficient coordination of day-to-day departmental operations, including the processing, and tracking of invoices across multiple stakeholders. The Administrator of Assessments is key in helping to ensure services are delivered accurately, consistently, and in accordance with established procedures of SkilledTradesBC Assessment department.
RESPONSIBILITIES/ACCOUNTABILITIES
Administration Support:
- Process, track, and review invoices for the Assessment Department to ensure accuracy and timely submission
- Provide administrative support for exam scheduling, including coordinating logistics, maintaining schedules, and responding to related inquiries.
- Monitors supplies and coordinates ordering with vendors
- Provides general administrative support services such as:
- Assisting in planning and organizing events
- Preparing, formatting, and photocopying and collating documentation
- Receiving, processing, and coordinating incoming and outgoing mail
- Assists in creating and maintaining documentation including preparing, monitoring and updating reports and projects required to fulfill program objectives
- Supports the coordination and execution of departmental projects and initiatives
Correspondence:
- Processes and track invoices, monitors and reports budget spending of Assessments department
- Generates costing and reconciliation reports for Manager, Assessments
- Schedules and coordinates internal and external meetings including preparing materials and recording meeting minutes
- Tests updates to notifications and certification items within Direct Access and reports systems issues, coordinating resolution with the team
- Performs other job-related duties and projects as assigned by Manager, Assessments
Team Support:Challenge Assessment Team:
- Assist in contacting applicants to request any missing information on application forms
- Review monthly invoices from Subject Matter Experts and verifier
Training Provider Contract:
- Work with Training Providers to ensure that all Accessibility Resource Centre invoices are received and accurate
- Prepare payment information for exam rental space with training providers on a quarterly basis Support processing and Uploading foundation and technical training results, resolving upload errors
Exams Team:
- Filing and maintaining exam-related documentation, including answer sheets
Invigilation Team:
- Support packing exams ensuring that the correct supplies are in each package
- Quality Assurance – review exam materials received from invigilators
- Support the pick up and drop off of SkilledTrades BC exams
EDUCATION/EXPERIENCE
- Highschool or equivalent is required, and post-secondary degree or diploma or equivalent is preferred; combination of education and experience will be considered
- Minimum of 1 year of administrative experience in a corporate or professional environment, dealing with sensitive and confidential information
- Experience working in a high-volume, fast-paced administrative environment with document processing and records management
- Demonstrated ability to provide exceptional customer service to internal and external customers through in-person, phone, and email
- Proven attention to detail with the ability to accurately review, process, and maintain information and documentation
- Intermediate proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
- Experience using CRM, case management, or ticketing systems is considered an asset.
- Knowledge of SkilledTradesBC programs and services, as well as the apprenticeship system, skilled trades programs, and related processes, is considered a strong asset
Other Job Requirements
- Occasional travel may be required to back up invigilate
Ability to lift up to 25 lbs
COMPENSATION
Salary Band A: $49,066 - $66,384
