The Executive Administrative Buyer is a unique hybrid role that combines executive administrative support with hands-on buying responsibilities. This position directly supports the President in day-to-day operations while managing purchasing activities related to meat products. The ideal candidate is highly organized, adaptable, and able to manage shifting priorities in a fast-paced business environment, while maintaining accuracy in procurement tasks and vendor coordination.
Key Responsibilities:Executive Administrative Support
· Review and prioritize the President’s incoming emails throughout the day and flag key action items.
· Coordinate the President’s calendar, appointments, and follow-ups for business and personal matters.
· Draft, send, and follow up on emails and phone calls as directed by the President.
· Assist with planning and managing internal and external events .
Buying & Procurement Duties
· Source and purchase meat products based on production needs and inventory levels.
· Enter manual purchase orders and manage special account requirements.
· Communicate with suppliers to confirm pricing, delivery schedules, and resolve any issues.
· Assist the President in reviewing supplier emails, quotes, and purchasing lists.
· Process and track credits and orders related to 8Acres or similar programs.
Operational Coordination
· Work with accounts payable to address invoice or payment-related questions tied to purchasing.
· Maintain procurement records, pricing files, and purchasing data within internal systems.
· Support coordination between purchasing and sales/marketing for promotional pricing and meat specials.
· Liaise with internal teams to ensure the execution of President-assigned tasks.
Qualifications:
· Diploma or certificate in Business Administration, Supply Chain Management, or a related field.
· 2–5 years of experience in a combined administrative and procurement or buying role.
· Experience in the food or meat industry is an asset.
· Strong communication, time management, and multitasking skills.
· Proficiency with Microsoft Office (especially Excel) and experience with ERP or purchasing software.
· High level of discretion and professionalism when handling sensitive information.
