Client Service Coordinator – Make Every Experience Matter!
Home Instead is looking for an exceptional Client Service Coordinator to join our team!
Are you highly organized, great with people and computers, and able to juggle multiple priorities at once? Do you love solving problems, creating positive experiences, and going above and beyond for others?
If so, this could be the perfect opportunity for you!
At Home Instead, we believe that exceptional care starts with an exceptional experience. We are looking for someone who doesn’t just complete tasks but notices the little things, anticipates needs, solves problems, and looks for ways to make every client, family member, and CAREGiver feel valued.
Inspired by the philosophy of Unreasonable Hospitality, we are looking for someone who is passionate about delivering exceptional customer service and understands that sometimes the smallest details can make the biggest difference.
What You’ll Do
No two days will be the same! As our Client Service Coordinator, you will play an important role in ensuring our clients and CAREGivers receive an exceptional experience every day.
Your responsibilities will include:
- Providing exceptional customer service to clients, families, CAREGivers, and team members.
- Answering incoming calls and responding to inquiries in a friendly, professional, and knowledgeable manner.
- Taking ownership of client and CAREGiver scheduling and ensuring all scheduling transactions are completed accurately and efficiently.
- Finding the right CAREGiver for each client by considering skills, personality, preferences, and compatibility.
- Helping minimize cancelled and missed shifts by proactively identifying and resolving scheduling challenges.
- Coordinating CAREGiver introductions and Quality Assurance visits.
- Following up with clients and CAREGivers to ensure satisfaction and address concerns quickly.
- Supporting new client inquiries and helping arrange Care Consultations.
- Maintaining accurate client and CAREGiver records using WellSky, Salesforce, and other computer systems.
- Assisting with timekeeping, CAREGiver clock-ins and clock-outs, and payroll-related questions.
- Supporting our CAREGiver recognition and retention programs.
- Helping ensure our office runs smoothly by supporting recruitment, onboarding, administrative tasks, and other team initiatives.
- Following Home Instead’s Quality Management System and procedures to ensure safe, high-quality service.
What We’re Looking For
The right person for this role is someone who can confidently manage a busy day while staying calm, organized, and focused on providing an outstanding experience.
You are:
- An excellent multitasker who enjoys working in a fast-paced environment.
- Passionate about customer service and making people feel heard, supported, and valued.
- Comfortable with computers and technology and able to learn new systems quickly.
- Highly organized and detail-oriented, with excellent follow-up skills.
- A proactive problem solver who can anticipate challenges and find solutions.
- A strong communicator who is friendly, professional, and compassionate.
- Able to work independently while knowing when to ask for support.
- Comfortable making decisions and using sound judgment.
- Adaptable, dependable, and able to handle changing priorities.
- Someone who believes in going the extra mile and doing more than what is simply expected.
Why Join Home Instead?
This is more than an administrative or scheduling position. You will play an important role in creating an exceptional experience for seniors and their families while supporting the incredible CAREGivers who provide care every day.
Whether you are helping a worried family member, finding the perfect CAREGiver match, solving a last-minute scheduling challenge, or simply doing something thoughtful that makes someone’s day better you will have the opportunity to make a meaningful difference.
If you are someone who loves people, enjoys a challenge, is great at multitasking, and takes pride in delivering exceptional service, we would love to hear from you!
