Overview
We are seeking a detail-oriented and organized Administrative Assistant to support our office operations. Bilingual in English and Mandarin/ Cantonese.
The ideal candidate will have strong clerical skills, proficiency in various software tools, and excellent customer service abilities. This role is vital in maintaining smooth daily activities, managing correspondence, and ensuring efficient administrative processes across departments such as medical or dental offices. Prior experience with office management systems and a professional demeanor are highly valued.
Responsibilities
- Manage front desk duties including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
- Handle filing systems, document proofreading, and general administrative tasks to support office functions
- Provide customer support via phone and email, addressing inquiries promptly and effectively
- Assist with appointment scheduling, calendar management, and coordinating meetings or events
- Support bookkeeping activities including invoicing, billing, and basic financial record keeping
- Maintain organized office environment by managing supplies and ensuring cleanliness of workspaces
- Support medical or dental office operations by managing patient records, verifying insurance information, and assisting with receptionist duties specific to healthcare settings
Requirements
- Proven experience in an administrative or clerical role, preferably within medical or dental offices
- Strong computer skills including proficiency in Microsoft Office (Word, Excel), Google Workspace, and QuickBooks
- Excellent organizational skills with the ability to manage multiple tasks efficiently
- Exceptional phone etiquette and customer service skills for front desk interactions
- Experience with multi-line phone systems, data entry, filing, proofreading, and general office procedures
- Ability to handle sensitive information discreetly and maintain confidentiality
- Strong typing skills with attention to detail for accurate data entry and document management
- Prior experience in bookkeeping or medical/dental office environments is a plus
- High school diploma or equivalent; additional certifications in administrative support or healthcare administration are advantageous
Pay: $16.46-$19.00 per hour
