Position Overview
The Inventory & Work Order Processing Coordinator plays a central role in ensuring smooth day‑to‑end workflow across order management, logistics, and customer communication. This position supports both internal teams and external customers by entering and reconciling work orders, maintaining accurate inventory records, coordinating shipments, and providing responsive customer service. It’s a hybrid role that blends administrative precision with operational awareness and strong communication skills.
Key Responsibilities
Work Order & Sales Order Management
- Enter new work orders into the system with complete and accurate information
- Reconcile work orders to ensure proper completion, billing accuracy, and system alignment
- Update sales orders as changes occur (quantities, dates, customer notes, etc.)
- Monitor order progress and proactively resolve discrepancies
Customer Communication & Service
- Serve as a primary point of contact for customer inquiries related to orders, timelines, and product availability
- Provide timely updates to customers regarding order status, shipping details, and any required follow‑up
- Coordinate with internal teams to resolve customer issues and ensure a positive experience
Logistics Coordination
- Support inbound logistics by tracking incoming shipments, confirming receipts, and updating system records
- Coordinate outbound logistics including scheduling pickups, preparing shipping documentation, and ensuring on‑time delivery
- Communicate with carriers, warehouses, and internal teams to troubleshoot delays or exceptions
Inventory Tracking
- Monitor inventory levels and flag low‑stock or out‑of‑stock situations
- Assist in cycle counts and inventory reconciliation activities
- Ensure system accuracy by updating inventory movements tied to work orders and shipments
Qualifications
- Experience in order entry, logistics coordination, or customer service
- Strong attention to detail and accuracy in data entry
- Ability to manage multiple tasks in a fast‑paced environment
- Excellent communication skills, both written and verbal
- Familiarity with ERP or order‑management systems (an asset)
- Problem‑solving mindset and comfort working cross‑functionally

Pay: $45,000.00-$55,000.00 per year
