The Heartland Sulphur Partnership is comprised of Lion Sulphur Inc. (Petrosul) and Inter-chem Canada. The partnership has a combined 100+ years of experience in the Canadian Sulphur industry and the two companies have teamed up to create a terminal designed to fit the growing Sulphur handling needs of Alberta's industrial heartland.
As the Business Systems & Administration Manager, you will play a pivotal role in ensuring the smooth operation of the terminal's administrative and business functions. This position offers the opportunity to make a meaningful impact by developing business processes, improving operational workflows, managing vendor relationships, and overseeing document control while supporting the day-to-day operations of a dynamic industrial site.

Role Overview
Reporting directly to the General Manager, the Business Systems & Administration Manager is responsible for leading the site's core business administration functions. Acting as the central point for office operations, purchasing administration, vendor coordination, and document management, this role ensures the terminal's business systems remain organized, compliant, and audit-ready.
Working closely with internal departments and external vendors, you will oversee business process development, office services, purchasing workflows, document control, and administrative support while supervising the Administrative Assistant. This position is ideal for someone who enjoys improving business processes, creating efficiencies, and ensuring operational excellence through strong organization and attention to detail.
Key Responsibilities
- Develop the site's administrative business systems, including office operations, document control, purchasing and requisitions, vendor and contractor administration.
- Designing the structure, standards, and accountability that keep these systems running.
- Build, implement and maintain the site's document control framework including filing structures, retention standards, version control, and record organization.
- Establish and govern purchasing and requisition processes, including approval routing, tracking, and documentation standards, ensuring the process is followed consistently rather.
- Own office vendor and contractor administration systems including pricing, agreements, insurance, renewals, and service contracts.
- Set the framework for Master Service Agreements, work orders, contracts, and site access documentation, ensuring consistent application across departments.
- Build and govern the onboarding administration process — documentation, checklists, IT coordination, and site access for new hires.
- Own office technology and telecommunications administration standards, including vendor management and account oversight, ensuring equipment and services are tracked and managed to standard.
- Supervise and develop the Administrative Assistant, providing clear direction, standards, and performance expectations, while delegating day-to-day administrative execution.
- Ensure administrative systems across the site remain organized, compliant, and audit-ready
- Proactively identifying gaps, monitoring adherence by other departments, and escalating unresolved issues to the General Manager.
Desired Skills & Experience
The successful candidate will demonstrate:
- Proven ability to design, implement, and govern business processes and SOPs across multiple teams.
- Strong systems-thinking and business administration acumen, with attention to detail at the process level.
- Working knowledge of document control frameworks and records management standards, sufficient to set and audit compliance.
- Experience overseeing purchasing, requisitions, contracts, and vendor administration at a governance level.
- Strong leadership and relationship-building skills, with the ability to drive adherence across departments outside direct reporting lines.
- Proven supervisory or management experience, with a track record of developing teams.
- Ability to manage competing priorities while maintaining accuracy, confidentiality, and accountability across systems.
- Strong problem-solving and continuous improvement mindset, with a bias toward building scalable processes over one-off fixes.
- Experience in industrial, manufacturing, energy, mining, or terminal environments is an asset.
- Proficiency with Microsoft Office and electronic document management systems.
Qualifications
- Bachelor's degree in Business Administration, Operations Management, Commerce, Change Management or related field preferred; equivalent experience considered.
- 8+ years of progressive experience building and implementing business processes, administrative systems, or operations management, with a track record of process ownership rather than task execution.
- Experience overseeing purchasing, vendor management, contract coordination, and document control at a standards-setting level.
- Demonstrated supervisory or management experience, with the ability to lead a team and hold others accountable to established standards.
- Strong Microsoft Office and business administration systems proficiency.
- Strong leadership, organizational, and communication skills, with the ability to drive adherence across departments outside direct reporting lines.
- Ability to operate independently, prioritizing process ownership and cross-departmental accountability over day-to-day administrative execution.

Pay: $80,000.00-$120,000.00 per year
