Overview
We're looking for an experienced Medical Receptionist to be the face of our clinic — someone who thrives on juggling a busy front desk and genuinely enjoys taking care of people. Our practice serves both OHIP patients and private cosmetic clients, so no two days look the same, and we need someone who brings professionalism and warmth to every interaction, no matter how hectic it gets.
This is a great opportunity for someone ready to own the front desk with confidence who can keep five things moving at once without losing their cool, and who treats every patient (whether they're in for a covered procedure or a cosmetic consult) with the same level of care and respect. We're a growing practice, and this role offers real potential to grow beyond a receptionist position as we expand.
Responsibilities
- Greet patients and visitors, creating a welcoming and professional first impression
- Manage a busy multi-line phone system with a warm, clear, and engaged tone : every call matters
- Handle incoming emails from patients, hospital staff, and third-party vendors
- Schedule appointments and maintain accurate patient records
- Book OR patients through the Epic system
- Verify insurance information and process payments (OHIP and private billing)
- Manage day-to-day tasks through our EMR system (Accuro)
- Coordinate referrals with other healthcare providers
- Support the surgeon with occasional ad-hoc administrative requests (printing, forwarding documents, quick errands) with flexibility and a can-do attitude
- Requirements
- 3–5 years of experience in a medical office setting, ideally with exposure to both OHIP and private-pay billing
- A calm, steady presence under pressure, you can have a patient at the counter, a phone ringing, and an urgent request from the surgeon all at once, and prioritize without getting flustered
- Genuine professionalism on the phone — a warm, engaged tone, every time, not just when things are quiet
- Emotional resilience: our patients rely on us for care and reassurance, so we need someone who can hold space for that without absorbing the stress themselves
- The judgment to know when to let a patient talk something through and when to gently keep things moving — especially with our senior patients, who often need a little extra patience
- Comfort with accountability when something goes sideways, you problem-solve first and explain later; you're solutions-focused, not defensive
- Strong working knowledge of Epic and/or Accuro, and general medical terminology
- Excellent written and spoken English
- Top-notch organizational skills and the ability to multitask without dropping the ball
