Overview
We are seeking an experienced, detail-oriented Shipping & Receiving Coordinator to join our team. This role is ideal for someone who thrives in a high-volume, fast-paced environment, remains calm under pressure, and takes pride in accuracy and organization.
The successful candidate will be responsible for all aspects of shipping, receiving, inventory control, and coordinating incoming and outgoing products. You will play a key role in ensuring our customers receive the correct products on time while maintaining accurate inventory records and supporting warehouse operations.
Responsibilities
- Shipping
- Prepare shipping labels using FedEx, UPS, Purolator, Canpar, eShipper, and U.S. shipping systems.
- Arrange and prepare skid shipments.
- Package products securely and verify all items before shipment.
- Ensure shipments match packing slips, sales orders, and customer requirements.
- Manage customer pickups and verify products released match packing slips.
- Track and manage back orders.
- Prepare deliveries for the company truck.
- Coordinate daily shipping priorities with warehouse and office staff.
- Maintain a clean, organized, and safe shipping area.
Receiving & Inventory Control
- Receive, inspect, and verify incoming shipments against packing slips and purchase orders.
- Record serial numbers and report discrepancies immediately.
- Stamp and process receiving documentation accurately.
- Update inventory and sales order information using QuickBooks.
- Investigate missing packing slips, backorders, and inventory discrepancies.
- Stock inventory in appropriate warehouse locations while maintaining inventory accuracy.
- Identify items required for production builds and deliver them promptly to the appropriate department.
- Receive customer repair, calibration, and certification shipments and ensure they are routed to the correct department with all required documentation.
- Process customer returns and prepare receiving documentation for the Returns Department.
- Coordinate manufacturer returns (RGA process) when required.
- Maintain organized inventory records and ensure proper handling of all incoming goods.
Qualifications
- Minimum 2 years of shipping and receiving experience.
- Experience using FedEx, UPS, Purolator, Canpar, eShipper, and shipping to the United States.
- Experience preparing skid shipments.
- Experience with inventory control and warehouse operations.
- QuickBooks experience is considered a strong asset.
- Strong attention to detail and commitment to accuracy.
- Excellent organizational and multitasking skills.
- Ability to prioritize work in a fast-paced, high-pressure environment.
- Strong communication and customer service skills.
- Comfortable working independently and collaboratively within a team.
- Ability to regularly lift 50–60 lbs.

- Proven experience in warehouse management, shipping & receiving, or related roles
- Ability to operate forklifts ; forklift certification preferred
- Strong understanding of warehouse distribution processes including order picking, packing, and load & unload procedures
- Basic math skills for inventory counts and order calculations
- Excellent organizational skills with attention to detail
- Ability to work effectively in a fast-paced environment while maintaining safety standards
- Physical ability to lift up to 40-60 pounds regularly and stand for extended periods during shifts.
