Job Summary
Mill View Integrated Health is a growing multidisciplinary health clinic in the heart of Manotick, offering chiropractic care, physiotherapy, massage therapy, acupuncture, and psychotherapy. We are looking for a friendly, organized, and dependable Administrative Assistant who is passionate about providing exceptional customer service and helping create a welcoming experience for every patient who walks through our doors.
Duties
- Welcome patients and create a warm, professional first impression
- Handle customer inquiries via phone, email, and in person, providing excellent customer support and phone etiquette
- Schedule and manage appointments using our online booking software
- Process payments and issue receipts
- Assist with insurance submissions and patient paperwork
- Keep reception and waiting areas clean, organized, and inviting
- Support practitioners with administrative tasks
- Complete daily opening and closing procedures
- Laundry, stocking treatment rooms, and clinic housekeeping
- Help with occasional social media posts and clinic promotions
- Support with administrative tasks such as scanning, faxing, and mailing documents
- Assist with other administrative tasks as needed
Requirements
- Excellent organizational skills with the ability to multitask effectively
- Exceptional communication skills, including phone etiquette and customer service experience
- Previous experience in administration, reception, or a medical office is considered an asset
- Experience with Jane App is an asset but not required
- Comfortable learning new technology
- High school diploma required; post-secondary education is an asset
Position Details
- Part-time permanent
- Approximately 20 hours/week
- Hours may be scheduled between 8am-7pm
- State date: end of August/early September
