The physician is currently established in the final stage of their career, offering a predictable, structured and highly respectful work environment.
We are looking for a dedicated Medical Office Administrator to manage our front desk and patient coordination for the next 5-8 years as we navigate towards a planned retirement.
This position will start as part-time and transition to full-time.
The unique nature of our office:
Please read the following details carefully before applying, as our office environment is very specific.
- 100% paper based: We do NOT use EMR software. All patient scheduling, charting, and records are managed via physical paper charts and traditional filing systems.
- Physical workspace: This is a fully in-person role located in a clean, professional, private office.
- High resilience required: Our patients are often anxious, stressed, or dealing with difficult personal situations. As the front=line of the clinic, you will regularly deal with individuals who can be demanding and impatient.

- You possess a thick skin, exceptional verbal boundaries, and the ability to remain calm and empathetic under pressure.
- You love physical organization and are comfortable managing paper files, physical day-planners, and traditional phone lines.
Responsibilities:
- Greeting patients, checking them in, and managing the waiting area.
- Managing patient appointments using a physical scheduling book.
- Pulling, filing, and organizing physical patient charts accurately.
- Handling phone inquiries with calm, polite authority.
- Maintaining complete patient confidentiality.
- OHIP billing
- Dragon dictation processing
Requirements:
- Excellent customer service skills and a professional phone manner.
- Prior experience in a medical office is a strong asset, but motivated new graduates from MOA programs are also encouraged to apply.
- Impeccable organizational skills, attention to detail, neat handwriting.
- Must be able to reliable commute to our Kitchener office daily.
Pay: $22.00-$27.00 per hour
